Degree Audit and Transfer Specialist / Assistant Registrar, Office of the Registrar

MCCC Unit Position, Grade 2

12-month benefited position

Campus Location: Danvers. Evenings, Saturdays and Remote work as needed.

SALARY:Anticipated starting salary is $41,984.00. Actual salary will be commensurate with education and experience in accordance with the MCCC/MTA collective bargaining agreement.

GENERAL STATEMENT OF DUTIES:

Under general supervision, the Degree Audit & Transfer Specialist is responsible for conducting Degree Audit and Transfer Evaluation, in addition to providing general functions in the Office of the Registrar. The Degree Audit & Transfer Specialist is responsible for implementing work activities, preparing/processing documentation, answering questions, providing and distributing information to various NSCC constituencies, and maintaining records. Performs related work as directed.

DUTIES AND RESPONSIBILITIES:

  • Serves as Office of the Registrar representative in Danvers One-Stop office. Maintains first-point-of-contact hours (in-person and/or virtual) to deliver general services to students, faculty, staff, and the public.
  • Processes Office of the Registrar forms and ensures accuracy.
  • Responds to in-person, virtual, and phone inquiries. Monitors departmental email accounts and responds appropriately.
  • Provides information regarding FERPA procedures and compliance to students. Enforces FERPA regulations and reports violations to the Registrar.
  • Processes all enrollment verifications for transferring students in coordination with the Community Standards office.
  • Issues official transcripts.
  • During peak periods, provides related task support to Office of the Registrar staff.
  • Reviews transcripts of matriculating students and awards transfer credits.
  • Coordinates with Office of the Registrar staff to record evaluation decisions and communicate to students in a timely fashion.
  • Utilize Banner, Navigate, and other tools to document transfer decisions and communicate with students.
  • Reviews transfer credit appeals and perform re-evaluation as necessary.
  • Coordinates with Division Deans and Program Directors to review transfer credit decisions when appropriate.
  • Facilitates transfer credit training and meetings. Coordinates with Associate Registrar to conduct Transfer Credit Appeals when necessary.
  • Updates and utilizes transfer equivalency tools to ensure equity in transfer decisions. Serves as Administrator for transfer tools. Troubleshoots issues and supports staff and faculty in use and utilization.
  • Performs graduation audits and graduation processing, including coordinating the reverse transfer program for transfer students. Ensures approved substitutions and posted to student records and eligible students receive credentials.
  • Educates faculty, staff and students on course waiver and substitution process.
  • Establishes graduate lists for Commencement Program, Honors, and newspaper release.
  • Responds to student inquiries regarding graduation eligibility.
  • Develops and implements registrar-related graduation correspondence to potential graduates.
  • Organizes and provides graduation list for Commencement book.
  • Coordinates diploma distribution process, including ordering of degrees and certificates, diploma covers and mailing materials, and identifying and troubleshooting diploma issues.
  • Updates student records with Commonwealth Commitment statement.
  • Confirms Mass Transfer Block requirement fulfillment to transfer institutions and researches and resolves discrepancies.
  • Reports inconsistencies with curricular software to Office of the Registrar management for review and resolution to ensure degree audit is accurate and aligning with published materials.
  • Serves on the Commencement Committee as directed.

SUPERVISION RECEIVED:Reports to the Registrar

Requirements:

  • Bachelor's degree in Education, Psychology, Computer Science, or related field; with 1 year experience and/or training involving college registration, academic advisement, administrative work in an academic environment, general office administration, or personal computer operations; or an equivalent combination of education, training, and experience.
  • Excellent verbal and written communication skills.
  • Must be able to use various electronic platforms to communicate, assist and evaluate students.
  • Must have the ability to work some evening and Saturday hours as needed.
  • Ability to work effectively within a fast-paced, rapidly growing, intense, and multifunctional office environment.
  • Strong organizational and analytical skills.
  • Ability to commute to any NSCC campus for meetings, programs and events.
  • Successful experience interacting with culturally diverse populations.
  • Candidates will be required to pass a CORI/SORI and/or a National background check as a condition of employment.

Preferred Qualifications:

  • Working knowledge of Student Informational Systems desired. Knowledge of Banner preferred
  • Strong knowledge of the community college system working with individuals of diverse backgrounds.
  • Bilingual in Spanish is preferred.
