Essential Job Duties
Position Overview:
The Centers and Institutes Specialist within the Research Development Office of the Office of Research and Innovation plays a pivotal role in supporting and overseeing the research activities conducted by NC State Centers and Institutes, I/UCRCs (Industry/University Cooperative Research Centers), and industrial Consortia.
This position contributes significantly to the administrative review, reporting, and management of activities within these units. The Specialist ensures alignment with University and System regulations and guidelines while fostering best practices to elevate the efficiency and effectiveness of these entities.
The Centers and Institutes Specialist will work closely with stakeholders, researchers, and administrators across various departments and institutions to ensure seamless coordination and compliance with regulations. This role requires a detail-oriented individual with a proactive approach to enhancing operational effectiveness.
Key Responsibilities:
  • Support the missions of Centers, Institutes, I/UCRCs, and Consortia by developing and updating management guides, membership agreements, bylaws, and the Center/Institute database.
  • Issue, audit, and manage funds awarded to researchers within University membership Centers and industrial Consortia, including sub-awards to external entities.
  • Oversee renewals, modifications, and terminations of membership agreements in compliance with established protocols.
  • Ensure compliance with University and System regulations and guidelines for requests related to the planning, creation, modification, or disestablishment of University Centers/Institutes. Disseminate materials to relevant stakeholders for feedback and approval.
  • Collect periodic reports (annual and five-year) from University Centers and Institutes, ensuring adherence to guidelines and subsequent archiving of reports within a comprehensive database.
  • Disseminate Center and Institute reports to interested parties and provide timely, comprehensive analyses of financial and training activities to internal and external constituents and regulators.

Qualifications
Minimum Education and Experience
Bachelor's Degree in Business Administration, Public Administration, or related business area; or equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Other Required Qualifications
1. Experience in research administration and project management
2. Strong understanding of University and System regulations, guidelines, and policies related to research activities, Centers, and Institutes. Proven experience working with:
  • The U.S. Code of Federal Regulations (CFR);
  • The Federal Acquisition Regulations (FAR), agency supplements to the FAR; and
  • The Microsoft Office suite of software applications, especially Word and Excel, Adobe Acrobat, Internet Browsers and relational databases.
3. Excellent organizational, analytical, and communication skills.
4. Ability to manage multiple tasks efficiently, prioritize responsibilities, and meet deadlines consistently.
5. Proficiency in database management and report generation.
Preferred Qualifications
  1. Experience in research administration at a major US university and familiarity with University Centers and Institutes is highly desirable.
  2. Be a "Certified Research Administrator" (CRA) or other comparable professional certification
  3. Experience working with industry sponsored research
  4. Familiarity with US Law regarding Intellectual Property (IP)
  5. Other experience in accounting, auditing or business administration is desirable
