Location: District Office General Purpose: To provide professional and confidential secretarial services to the superintendent and to the school board and to act as a liaison between the superintendent, employees and the public. Reports To: Superintendent Qualifications:
High school diploma or equivalent. Post high school training/experience preferred
Three years of progressively responsible, executive-level secretarial experience preferably to a chief executive officer
Possess a superior command of the English language, with ability to effectively communicate both orally and in writing on behalf of the superintendent
Duties and Responsibilities (other duties may also be assigned):
Maintain harmonious working relationships with other employees and the public while projecting a positive image of the District
Works well under pressure of deadlines and at all times maintains composure and professionalism
Maintain Superintendent and School Board calendars and arrange appointments, programs, events and meetings
Takes and transcribes board meeting minutes and other meeting minutes as needed
Prepares and distributes board agendas, support materials, minutes, policies and other materials to designated groups and individuals
Process Inter and Intra District Transfer requests and maintains tracking spreadsheet
Compose and type correspondence, memos, reports, agendas, minutes, and other complex documents as assigned
Establish and maintain a regular filing and recordkeeping systems, and process incoming correspondence as instructed
Proficiency with computer use and programs, including word processing, spread sheets, internet, templates, email, database applications and student information systems (Synergy)
Prioritize and organize responsibilities and work independently to complete assignments with minimal supervision
Serve as the primary contact person and liaison between the superintendent and district personnel, parents, students, and the general public
Ensures meeting and other legal notices are properly prepared and distributed in a timely manner and within any stated guidelines
Attend meetings or events scheduled outside of the regular work day or work week
Performs reception and telephone duties for the Superintendent Office including greeting, routing information and messages
Make travel arrangements for the Superintendent and School Board members and administrators attending conferences and workshops
Maintain a high level of ethical behavior and confidentiality when dealing with student, staff, and/or parent information
Act as a friendly ambassador for the North Bend School District
Maintain regular attendance in order to preserve continuity
Perform other duties as assigned by the supervisor
