North American Veterinary Community (NAVC) is Hiring a Project Manager Near Orlando, FL

POSITION TITLE: Project Manager

LOCATION: Orlando, Florida (preferred)

REPORTS TO: Sr Vice President, Live Events

FLSA Status: Exempt

NAVC Overview

Position Objective

As a Project Manager, you will be responsible for overseeing and coordinating the planning, implementation, and execution of technology systems and solutions for events. This role requires a blend of project management, technical expertise, and communication skills to ensure the successful integration of various systems and technologies to enhance the overall event experience. The Project Manager will collaborate with cross-functional teams, vendors, and stakeholders to deliver seamless and innovative technology solutions.

Primary Responsibilities:

  • Support a portfolio of Veterinary Education Events throughout their respective lifecycles.
  • Collaborate with cross-functional teams and stakeholders, including software developers, to develop comprehensive project plans outlining tasks, timelines, and resource requirements.
  • Communicate project goals, timelines, and updates to internal and external stakeholders.
  • Monitor the progress of each project and make needed adjustments to ensure the timely and successful completion of projects.

· Collaborate with IT teams to integrate systems and properly identify, remediate, communicate or escalate technical and program risks.

  • Manage relationships, set expectations, and prevent scope creep or changes during the configuration and validation phases to minimize implementation delays.
  • Optimize implementation processes to reduce costs and timelines while ensuring high-quality deliverables.
  • Facilitate weekly meetings that lead to actionable outcomes and decisions with follow-up communication, including a summary of decisions, next steps, and assigned responsibilities.
  • Establish and implement quality assurance processes to ensure the reliability and functionality of technology systems to identify and resolve issues before events.
  • Manage, communicate, and escalate potential risks and challenges transparently, outlining mitigation strategies.
  • Ensure appropriate project SMEs are engaged to maintain timelines
  • Establish documentation and management of SOPs related to assigned projects.
  • Foster strong relationships with key stakeholders, including event organizers, sponsors, and technology teams.
  • Interface with and report progress to executives at NAVC, providing regular updates and insights into the project's status.

Required Skills

  • Bachelor's degree in Project Management, IT, Business Administration, or a related field.
  • Proven experience (7 years) in successfully managing multiple projects, preferably in the event/tradeshow industry.
  • PMP or similar project management certification.
  • Understanding of databases, SSO, integrations, API’s, CRM
  • Exceptional leadership, communication, and interpersonal skills.
  • Proven ability to manage customer relationships, set expectations

· Demonstrated ability to manage multiple projects simultaneously.

  • Experience using project management solutions like Wrike and Smartsheet.
  • Excellent written and interpersonal communication skills.
  • Superior organizational abilities.
  • Professional demeanor in stressful situations.
  • A self-starter with a high level of initiative and attention to detail is required.
  • Proficiency in all Microsoft Office programs (Excel, PowerPoint, Word)
  • Proficiency in Google G-Suite (Calendar, Drive, Docs, Gmail, Sheets, Slides)
  • Ability to work in an Apple computing environment and with Mac OS

Additional Position Information:

  • 5-10% travel (occasional day trips), primarily between Orlando and Gainesville, FL
  • All prospective employees must pass a background check
