POSITION OVERVIEW
With oversight and support from the AVP, Accounting & Finance, the Accounting Senior Manager is responsible for accounts payable, accounts receivable, monthly close entries, supporting the annual audit and 990 completion, general ledger oversight and maintenance, all in accordance with Generally Accepted Accounting Principles (GAAP), and produce a variety of financial reports. Oversee the day-to-day grant accounting functions including budget versus actual, and donor grant reporting.
FUNCTION
Responsible for the support of day-to-day accounting, reporting activities, and grants management. The Accounting Senior Manager will oversee accounts payable, support in the development of financial statements, monthly/quarterly close entries, develop audit schedules, maintain a clean general ledger, and generate timely financial reports as needed. This detail-oriented accounting professional will manage one Grant Accountant and be responsible for the oversight and set-up of new grants, donor financial reporting, review subaward billings, and other grant management financial tasks.
PRINCIPAL RESPONSIBILITIES
Accounting
Manage the day-to-day operations of accounting, reconciliations, accounts payable, accounts receivable, revenue accounting, and review accounting transactions posted to the general ledger.
Responsible for all A/P, including vendor set-up, ACH/wire transfers, and reconciling (4) department American Express accounts.
Complete closing entries to support the month-end close and year-end close, ensuring a consistently timely and accurate period-end closing(s).
Develop and maintain audit schedules to support the annual audit and completion of the 990.
Resolve problems referred by staff and provide policy and regulatory interpretations as needed.
Identify opportunities to improve systems and processes, working with Museum colleagues to consistently improve accuracy and efficiency of processing transactions while improving internal controls.
Perform special projects and other duties as required.
Grant Management
Manage one Grant Accountant.
Serve as the Finance Point of Contact to the Research, Exhibits, and Program (REP) teams on all financial matters specific to restricted revenue.
Manage all post-award functions, including award set-up, subaward billings and drawdowns, audit questionnaires, subaward monitoring and risk assessment, cost transfers, budget modifications, effort reporting, cost share, program income, grant reconciliations, and grant closeout.
Upload restricted budgets into the accounting system.
Create and update department budget sheets.
Review donor budgets and support budget modifications prior to submission.
Prepare donor financial reports and address donor questions specific to budgets or financial reports.
Support the Single Audit and the development of the Indirect Cost Rate proposal.
Create and promote a positive and supportive work environment.
QUALIFICATIONS
Bachelor’s Degree in Accounting and/or its work experience equivalent.
6 years of accounting, grant management; managerial experience required.
Strong working knowledge and understanding of accounting, financial reporting, GAAP, nonprofit finance and accounting regulations, and the management of restricted funding.
Proficiency across a range of accounting systems; (Experience in MIP Fund Accounting is preferred)
Proven ability to identify priorities within multiple assignments in a high-pressured, short deadline environment.
REQUIREMENTS
Ability to build strong relationships cross-functionally, demonstrating strong collaboration skills and the ability to communicate clearly and persuasively across all teams and cultures.
Strong interpersonal and communication skills; experience in effectively communicating financial data to all levels of staff.
Must maintain confidential and sensitive information.
Proficiency in Microsoft Office and Google Workspace.
Strong analytical and technical skills; highly organized, efficient, with outstanding attention to detail.
Must be committed to the philosophy and mission of the New York Hall of Science.
