New Jersey City University is Hiring a Service professional Near Jersey, NJ

JOB SUMMARY :

Reporting to the Student Accounts Director, Professional Service II position, which performs administrative, accounts receivable, and accounting duties.

The role oversees all collections activity, due diligence, cashiering, reconciliations, and technical and customer service functions.

The duties include providing support and management in selecting, supervising, and training of program assistants. Stay current with all changes and enhancements to the AR system.

Assist with the annual 1098T testing, preparation, and distribution process for all students and in compliance with IRS regulations.

Manage 1098T requests for both electronic and mail delivery. Supports all areas for all student functions performed in the Office of Student Accounts.

Maintain and monitor student accounts receivable, including past due accounts receivable and essential accounting functions.

The position will respond to students, parents, and other University offices regarding inquiries about billing statements, 1098-T Tax forms, payment options, and additional requested information related to the University.

The Professional Services II is expected to communicate and respond highly professionally.

ESSENTIAL JOB FUNCTIONS :

1.Assist in the daily operations of the student accounts receivable and the accounting functions, ensuring compliance with the university's payment and refund policies.

2.Accounts receivable management and collection of past due balances. Proactively communicates with students regarding their account status, reviews accounts for existing and potential aid, and counsels’ students and parents on payment options.

3.Answers questions for students regarding policies and the status of their accounts and payment plans.

4.Responsible for running a monthly trial balance report, researching, and correcting all variances.

5.Handles district-wide processes related to core areas of responsibility, such as third-party billing, payments, in-house payment plans, wire transfers, billing, outreach (calls, emails), returned checks, stop payments, and credit card refunds.

6.Performs complex cashiering functions for student accounts. Must be familiar with university payment, billing, refund policies, institutional and FERPA confidentiality regulations, and Federal Title IV cash management regulations.

7.Provides financial counseling to prospective and returning students and guides them to institutional, state, and federal resources and others.

8.Manage the potential unclaimed checks and credit balances.

9.Ensure daily, weekly, and monthly processes, reconciliations,

11.Ability to prioritize daily tasks and organize work with minimal supervision.

12.Excellent attention to detail and ability to shift focus and priority in a fast-paced environment as part of a team.

13.Diplomacy in handling confidential information and discussing account information.

14.Participates in University events such as Orientation, Accepted Students Days, Open Houses, Move-In and Welcome Weekends.

15.Customer service experience and the ability to communicate effectively with a diverse student population.

16.Reconciles general ledger accounts and resolves differences, Including bank accounts.

17.Prepares monthly, quarterly, and annual journal entries.

18.Downloads daily bank activity and ensures that all funds received have been recorded in the Accounts Receivable.

19.Perform activity from various online platforms and reports recording the receipts in the Accounts Receivable.

20.They will be able to maintain a complex workload with competing deadlines and lead a diverse team on a large scale.

21.Ability to act with initiative and make independent decisions with minimal direct supervision.

22.Manages active and non-active student account A / R outreach and collections, including a timely and thorough review of all accounts for accuracy, letters, and phone calls to delinquent accountholders, tracking of collection notices / attempts, settlement negotiations, and settlement processing and write off.

23.Contributes to the overall success of the Office of Student Accounts and the University by performing other duties and responsibilities as assigned.

REQUIREMENTS : Ability to prioritize daily tasks and organize work with minimal supervision.

EDUCATION : bachelor's degree from an accredited institution. NOTE : Applicants who do not possess the required education may substitute experience on a year for year basis.

NOTE : A master’s degree may be substituted for one (1) year of the required experience. NOTE : A Ph. D or Ed.D degree may be substituted for two (2) years of the required experience.

EXPERIENCE : Three (3) years of professional experience in different aspects of administration and business practices; including design and implementation of policy and procedures and improving and updating management practices.

  • Knowledge of basic accounts receivable accounting is required either through appropriate coursework or previous work experience.
  • Previous data entry experience required.
  • Previous office work required.
  • Cash handling experience is required.

SKILLS :

  • Strong customer service skills
  • Good math and calculator skills
  • Proficient in the use of Microsoft Excel
  • Word processing skills
