Neighborhood Legal Services, Inc is Hiring a Grant Coordinator Near Buffalo, NY

Job Title: Grant Coordinator
Classification: Exempt, part of Administrative & Management unit (non-union)
Reports to: Grant Manager

Organization Overview:
NLS provides free legal services to low-income individuals and people with disabilities in Western New York. Substantive practice areas include housing, public benefits, family, and disability law. An annual budget of over $15 million supports 100 staff working primarily among five offices in Buffalo, Niagara Falls, Lockport, and Batavia. NLS staff are supported by the Buffalo Office of Legal Service Workers (BOLSW) Union which covers the majority of staff including staff attorneys, staff paralegals, and support staff. Non-union staff include approximately 20 management and administrative personnel. NLS receives Federal, State, local and foundation support in the form of 20 grants, as well as earned income through attorneys’ fees and charitable contributions.

Job Summary
: Under the supervision of the Grant Manager, the Grant Coordinator will be responsible to effectively assist in the management of the lifecycle of the agency’s grants and contracts. Functions of the role will include, but may not be limited to, grant reporting, proposal editing, research, data management, reconciling monthly timekeeping, and maintaining calendars. This role requires superior organizational, editing, and communication skills, as well as the ability to prioritize responsibilities to meet various concurrent deadlines.

Responsibilities:
  • Support the Grant Manager with grant proposals, research, and applications.
  • Coordinate and collect documents related to grant contract requirements.
  • Assist with the administrative tasks and timely submission of programmatic reports.
  • Maintain calendar of programmatic and financial reporting deadlines.
  • Perform review of data integrity for internal and regulatory compliance with funding requirements.
  • Maintain organized grant records and filing system.
  • Assist to develop systems for effectively and efficiently tracking grant programmatic targets,
outputs, and goals.
  • Develop statistical reports and charts for data visualization.
  • Proactively identify, research, and monitor funding sources, including state and federal government agencies, foundations, and corporations.
  • Manage review of staff timekeeping in case management software, in preparation for monthly vouchering.
  • Collaborate with Financial staff in the preparation and submission of grant modifications, budgets and information requests.
  • Assist with special projects as requested and step in for Grant Manager if absent.

Qualifications
  • BA/BS degree and a minimum of 3 years professional experience in a nonprofit environment in grants/project management, data management, fundraising or related field.
  • Experience with case management system or similar database. LegalServer experience a plus.
  • Computer proficiency in Office 365, including Excel, Word, and PowerPoint.
  • Excellent oral and written communication skills.
  • Prior experience in positions which demonstrated the ability to prioritize work, able to multi-task, and handle multiple responsibilities.
  • Strong attention to detail, accuracy, and presentation.
  • Excellent analytical and evaluative skills.
