NCCF is Hiring a Program Assistant Near Bethesda, MD

Position Purpose:Responsible for coordinating communications and providing administrative support to the Adolescent Services Administrator and manages the front desk as the face and voice of the Agency. Essential Duties and Responsibilities: 
  • Prepares and types correspondence, reports, letters, statistics, and other related textual and tabular material based on brief verbal notes or rough drafts as supplemented by data and information contained in office files and precedents.
 
  • Responsible for reproduction and compilation of various documents.
 
  • Manages monthly rent purchase orders / payments for division housing sites.
 
  • Prepares program reports to include weekly census reports and boarding reports.
 
  • Completes appropriate documentation and correspondence to appropriate parties to include critical and unusual incident reports and monthly boarding reports.
 
  • Ensures program maintenance of the ETO database system. Provides assistance with the oversight to ensure the agency remains compliant with data input. Submit monthly reporting to government agencies.
 
  • Manages distribution and filing of Critical and Unusual Incident Reports.
 
  • Attends Division Meetings and prepares minutes.
 
  • Provides answers to inquiries based on general knowledge of organization functions, planned and accomplished activities, or on information available from office files and records.
 
  • Prepares purchase orders for program expenses and submits for approval. Prepare and reconcile petty cash and credit cards purchases to submit to Finance.
 
  • Orders office supplies for programs.
 
  • Receives, submits, records and monitors all division work order requests.
 
  • Provides program support during staff meetings and trainings.
 
  • Sets up interviews for possible employee candidates.
 
  • Maintains records of staff evaluations, missing human resources documents, and required training dates.
 
  • Collects and logs staff mileage/petty cash documents to review and approve.
 
  • Attends to visitors and deals with inquiries on the phone and in person.
 
  • Supplies information regarding the organization to the general public, clients, applicants for employment and customers.
 
  • Answers telephone, screens, and directs all calls to the appropriate parties.
 
  • Takes and relay messages.
 
  • Provides information to callers as needed.
 
  • Greets persons entering the organization.
 
  • Directs persons to the correct destination.
 
  • Deals with queries from the public and customers.
 
  • Oversees mailroom sorting and distribution and courier services.
Non-Essential Duties and Responsibilities: 
  • Maintains Administrator’s calendar and schedules and reschedules appointments as necessary.
 
  • Arranges for conferences, meetings and visits, informing participants of subject matter, relaying pertinent information and administrative instructions, obtaining data and preparing reports for proceedings.
 
  • Assists with New Hire Orientation and training of administrative volunteers.
 
  • Maintains CPI certification and CPR/First Aid Training.
 
  • Other duties as assigned.
Qualifications: 
  • High school diploma and two years of college preferred.
 
  • Minimum typing speed of 55 wpm
 
  • Knowledge of principles and practices of clerical work and Microsoft Office Suite. Strong interpersonal, oral and written communications skills
 
  • Ability to work effectively under stressful conditions in order to meet deadlines; ability to work with minimum supervision and to follow precise written and oral directions.
 
  • A commitment to serving vulnerable youth who are challenged in transitioning to adulthood.
 
  • An attitude compatible with the goals and purposes of the National Center for Children and Families.
Physical Demands/Work Environment:While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers to handle or feel. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and stoop, kneel, crouch or crawl. Vision abilities required y this job require close vision working with a computer monitor. While performing the duties of this job, employee is occasionally exposed to moving mechanical parts and vehicles. The noise level in the work environment is usually quiet to moderate. While performing the responsibilities of the employee’s job, these work environment characteristics are representative of the environment the Human Resources Director will encounter.
