National Museum of African American Music is Hiring an Events Services Specialist Near Nashville, TN

The Events Services Specialist will oversee and manage all contracted museum events. This role will ensure events are successful and cost-effective, time constraints, and museum guidelines. The Events Services Specialist is, above all, a project manager who understands marketing and client services techniques. Key skills include listening, generating fresh ideas, and being organized.

Essential Duties and Responsibilities:

  • Lead event activation and all client services
  • Collaborate on event assignments alongside the Director & Assistant Director of Events.
  • Maintain correspondence with clients throughout event preparation and execution to ensure client’s needs are met and exceeded
  • Conduct client and vendor pre-event walkthroughs as needed
  • Make suggestions to enhance the event’s success and create additional event revenue
  • Source and negotiate with vendors and suppliers
  • Oversee and coordinate third-party personnel, including DJs, Caterers, Musicians, Volunteers, Etc.)
  • Work closely with Education and Development departments to ensure seamless execution of internal events
  • Supervise all third-party staff (bartenders, caterers, etc.)
  • Create and distribute Event Order to clients, vendors, and all appropriate Museum departments
  • Coordinate loading dock schedule with NMAAM Security & Metropolis Parking
  • Coordinate client security, facilities and IT needs with the NMAAM staff
  • Post-event evaluations and analysis
  • Collaborate with the Director of Events to analyze the success of events and compile comprehensive reports.

Education and Experience:

  • Bachelor’s Degree in Hospitality, Event Management, Communications, or Equivalent Experience based on years of professional experience.
  • 2 plus years of event planning or equivalent experience.
  • 2 plus years of Food & Beverage/Hospitality Experience.
  • Skilled in project management
  • TABC License
  • Proficient in MS Office Suites

Knowledge/Skills/Abilities:

  • Supports the mission, vision, and strategic goals of NMAAM to serve both internal and external customers.
  • Excellent verbal and written communication skills, interpersonal, organizational, and time management skills.
  • Professionally conducts self; maintains an appropriate professional appearance.
  • Follows and supports policies and procedures of NMAAM.
  • Participates as a team member utilizing a collaborative style to achieve mutual goals.
  • Organizational skills and ability to manage multiple projects simultaneously
  • Timely follow-up and ability to adhere to deadlines
  • Ability to act as an ambassador of NMAAM and demonstrate confidence in the knowledge of the history, brand values, vision, and direction
  • Proficiency in problem-solving and being detail-oriented.
  • Strong organizational and time management skills
  • Ability to provide onsite support including standing for long periods, setting up event needs, and cleaning up post-event.
  • Excellent communication skills and aptitude for building productive business relationships
  • Able to oversee multiple projects independently

All Staff Duties:

  • Serves as a leader to ensure strong communications between NMAAM and all external constituents.
  • Actively seeks to learn the history of NMAAM.
  • Advocate for and advance the mission of NMAAM
  • Assist in the planning and implementation of special events.
  • Attend Weekly, Monthly & Quarterly meetings.
  • Performs other duties as assigned.
