Administrative Coordinator
General Description
TVG-Medulla, LLC provides support and services to two comprehensive chiropractic care companies, MyoCore Personalized Pain Care and Chiro One Wellness Centers, both industry leaders in evidence-based, patient outcomes-centered care.
The Patient Navigator is responsible for coordination of corporate processes and the implementation of those processes in regard to patient accounts.
General Description
The Patient Navigator is expected to offer the highest level of customer service to patients and provide administrative assistance to the providers. Record of tasks to do and completed, are to be kept so that in case of any absence, those tasks can be continued during that period without error by another. Professional appearance and demeanor are considered standard by all MyoCore staff. All staff will be treated with respect by owner and coworkers.
Essential Functions and Responsibilities
1. Maintain the appointment schedule (adding, rescheduling and canceling).
2. Answer all incoming calls, return missed calls/voicemails and create, change, implement voicemail.
3. Take payments, schedule future appointments and communicate insurance/account updates with patient as needed. These will all be via phone.
4. Run reports and audit accounts to ensure proper billing was charged and payments were collected.
5. Utilize Platinum software to review patient demographics and billing information.
6. Complete End of Day procedures and reporting once reviewed for accuracy.
7. Enter patient information, including source of referral, upload documents to patient records and verify insurance for new patients.
8. Communicate/Track requests for doctor’s notes as needed and follow up to ensure completion.
9. Enter patient payments as received. This task will be done over the phone as needed.
10. Maintain clinic email. You will be responsible for all incoming emails and communicating with the doctor’s letting them know what all you have taken care of.
11. Provide support to Doctor’s and staff as requested. Including but not limited to: phone calls, e-mails, typing documents, sending out mail, faxing, marketing, researching and all other administrative-like tasks
12. Order inventory based on what the doctor needs.
13. Update all required spreadsheets.
14. Maintain a clean work environment.
15. At any time, you could be assigned to be a part of special projects. These projects may include, but are not limited to:
a. Support other clinics via remote coverage with productivity and performance.
b. Assist the Revenue Cycle Management (RCM) Team and/or the Benefits Verification Team protocols and procedures. This could include, but not limited to, invoices, auditing patients accounts, reports, etc.
c. Provide in-person coverage when an FDA is out of office.
Minimum Qualifications
1. High school diploma or equivalent
2. 1-year relevant customer service experience
