The Office Assistant Bilingual Spanish position works primarily at the front desk for the Women, Infants and Children (WIC) program. This position screens applicants for eligibility, checks participants in and out of appointments, answers routine questions, documents transactions, issues food benefits, uses critical thinking to address problems and provides excellent customer service through each step. The position partners with Nutrition Assistants and other team members in support of client and program needs.
The position requires the ability to read, write and speak in both Spanish and English languages.
As the Office Assistant - Bilingual Spanish , you will:
  • Greet participants using Participant Centered Services; determine reason for Women, Infants and Children (WIC) clinic visit, screen participants based on State WIC Policy and Procedure manuals.
  • Ensure accuracy of participants' records by document interactions accurately, answer general questions regarding WIC.
  • Issue food benefits; assist participants with issues related to spending food benefits; answer follow-up questions as needed.
  • Complete the checking in and out for WIC classes; verify Oregon Health Plan (OHP) eligibility.
  • Complete food issuance audits; print and send appointment reminders as well as graduation letters and termination letters; send appointment reminder notices and respond to client messages using established technology systems.
  • Provide community referrals, issue food benefits, assist participants with issues related to spending food benefits.
  • Complete review of proof of income, residency and identity; process transfer documentation.
  • Issue WIC identification and electronic-WIC (eWIC) cards as needed.
  • Use customer service skills and critical thinking to assist participants over the phone; screen participants for WIC eligibility; make and reschedule appointments for WIC services and classes; remind of upcoming appointments; provide community referrals and answer general WIC related questions.
  • Communicate with staff using established technology systems; work cooperatively to share and manage call volume.
  • Participate in outreach events, and participate in committees or work groups.

TO QUALIFY:

Minimum Qualifications/Transferable Skills*:
  • Education/ training equivalent to completion of the twelfth grade.
  • Two (2) years of general office support or customer service experience dealing directly with the public.
  • Must be able to read, write, and speak fluently in both the Spanish and English languages. (Testing is required.)
  • Must pass a reference check.

Work Location: This position works onsite at Walnut Park Complex, 5329 NE MLK Jr Blvd, Portland, OR 97211 and other WIC sites as needed.

All County employees have a role in serving the public during inclement weather, natural disaster, or other types of community emergency response. During these emergency responses, while typically there begins with a call for volunteers, county employees may ultimately be reassigned from their current position to a role in the emergency response in order to support the critical needs presented by our communities.
