Mountain West Church is Hiring an Executive Assistant to the Lead Pastor Near Mountain, GA

POSITION: Executive Assistant to the Lead Pastor
REPORTS TO: Lead Pastor

POSITION SUMMARY: This position isto assist the Lead Pastor as required, including calendaring, communication and performing special assignments, projects, and tasks under the direction of the Lead Pastor. This position requires the ability to work independently, exercising sound judgement and initiative. Some weekend hours are also required. This person should have the ability to clearly communicate, organize efficiently, and anticipate and communicate needs.

PERSONAL QUALIFICATIONS:

  • Must evidence a personal relationship with Jesus Christ and demonstrate personal maturity and godliness.
  • Must have exceptional interpersonal, written verbal and organizational skills.
  • Must be able to maintain a modest and professional appearance.
  • A bachelor's degree from an accredited college or university and/or five (5) year's experience performing progressively responsible general administrative work.
  • Must possess knowledge of Microsoft Office Word, Excel, PowerPoint and Outlook. In addition, must have knowledge of telephone systems, message service, copy machines and the ability to learn new software applications when needed.
  • Must possess the ability to remain positive as well as being flexible and adaptable as the pace of work can vary significantly from week to week or season to season.
  • Must be in agreement with Mountain West Church's doctrinal statement of beliefs and become a member of the Church.
  • Must be able to be trusted with confidential information

RESPONSIBILITIES:

Calendar/Coordination

  • Manage the Lead pastor’s calendar appointments, meetings, and phone conferences, including meetings with staff, supporters, friends, ministry contacts, boards, and ministry teams; keep appropriate parties informed in advance.
  • Manage the Lead Pastor’s incoming correspondence (calls, mailings, and e-mail)
  • Coordinate Lead Pastor's daily, weekly, monthly, and annual appointment schedule with church calendar for maximum ministry effectiveness, keeping Lead Pastor apprised of appointments regularly.
  • Manage all speaking engagement and travel opportunities, coordinating details with all involved.
  • Coordinate logistics for lodging and meals for annual various staff and ministry retreats. Assist with coordination, setup, and staffing of church events.
  • Assist with resource procurement, including office, promotional and, hospitality supplies.
  • Assist with upkeep of contact management system, event calendar, and staff calendar as needed.
  • Be present on Sundays to help with Lead Pastor and ministry needs as they arise.

Office Relationships

  • Ensures the administrative functions of the office are on task.
  • Acts as the liaison from the Lead Pastor’s office to ensure effective communication to and from the office and administrative staff.

Meeting Responsibilities

  • Responsible to attend staff, Council, and other meetings as needed; and preparing and presenting regular special reports as necessary.
  • Ensures that the production of all administrative materials for church meetings, leadership meetings, and other non-worship gatherings are completed in advance of the meetings, and that all parties receive clear communication.
  • Availability to take notes in various meeting settings.

Event Management

  • Work with the Lead Pastor to understand and communicate the vision for major church events.
  • Ensure the strategy, logistics, and execution of major church events as listed on the church calendar.

Committee Liaison and Management

  • Communication between the Lead Pastor’s office and the Outreach and Missions committees.
  • Ensures committee actions are executing the vision of the Lead Pastor.

Job Type: Full-time plus health benefits

Pay: Commensurate with experience

  • Monday to Thursday
  • Sunday availability
  • Occasional weeknight availability
