Mohawk Valley Health Systems is Hiring an Office Supervisor - Full Time - Days Near Utica, NY

Job Summary

The Office Supervisor is responsible for organizing, coordinating and leading the daily operations and activities performed by the front desk staff in a Community Medical Office. The Supervisor works closely with the management team and other departments to ensure efficient and high quality operations and customer service for the delivery of care throughout MVHS. The Supervisor will work under the direction and supervision of the Manager or Senior Operations Manager.

Core Job Responsibilities

  • Leads the day to day clinic operations to ensure high quality patient care and efficiency. Coordinates daily work assignments, relays work instructions and monitors work for quality and completeness. Promotes customer service and effective teamwork throughout the department.
  • Performs all medical office functions such as registration, appointment scheduling, answering phones, greeting patients and medical records processing according to departmental policy and procedure.
  • Ensures office is staffed appropriately during clinic hours. Handles scheduling, vacation requests and call outs.
  • Prepares and submits payroll for processing. Monitors overtime and work schedules. Approves time cards and reviews payroll reports.
  • Ensures compliance with procedures, policies, and regulatory requirements.
  • Assists in the evaluation, implementation and update of systems and procedures which optimize patient flow, customer service and provider productivity.
  • Serves as the primary contact for patients with concerns, questions, complaints or compliments.
  • Serves as a resource and role model to staff. Also serves as a resource for providers, managers, and staff for problem solving. Shares information appropriately.
  • Ensures that clerical staff have the information, training and resources needed to perform their jobs efficiently and effectively.
  • Coaches, directs and monitors staff to ensure customer service and job standards are met or exceeded, work is completed efficiently, and that staff adhere to departmental policies and procedures.
  • Assists the Manager with the preparation of reports, collection of data, planning, and office projects.
  • Maintains necessary levels of supplies to meet departmental need. May review storeroom requests, initiate purchase requisitions, and initiate requests for maintenance or repair of equipment or facilities.
  • Participates in the selection of new employees following departmental policies and procedures on hiring practices.
  • Provides input to or completes employee performance appraisals. With the Manager and Human Resources guidance, resolves grievances and other staff problems in a fair, timely and consistent manner.
  • Performs other duties as assigned.

Education/Experience Requirements

REQUIRED:

  • High school diploma or equivalent and 7 years of related experience OR Bachelor’s Degree in Business Administration, Healthcare Administration, or a related field and a minimum of 3 years of experience.
  • Prior experience in supervisory role.
  • Demonstrated knowledge of medical office operations and medical terminology.
  • Excellent interpersonal, communication and customer service skills.
  • Proficient with computer software (MS Office) and EMR.
