Location: Elkhart, IN

Pay Range: $21 to $23 per hour

Overview

Come grow with us by joining our team as a Transportation Coordinator! In this role, you will play a critical role for the company and will work alongside other professionals within the team and other departments. The Transportation Coordinator is responsible for all administrative record keeping for the vehicles at the location. The position will update vehicle inventory status in Excede to represent current location. The Transportation Coordinator will also be responsible for dispatching drivers for vehicle pick up and deliveries and making sure that final inspections are completed to assure vehicles are clean, detailed and ready to be delivered. Track and use the Emerge and Record 360 software to verify the data is correct and being used correctly at all CBS locations. Help to set up new carriers and try them out to see if they can work for CBS on a national basis. Run reports for management to show compliance of software usage. Work with carriers to assure tracking is being used.

Responsibilities

Below is an overview of the duties and responsibilities you would take on in this role:

  • Work with all aspects of the service department to determine daily production schedules, identify inventory status changes, ensure production units are accessible, and review completion status
  • Create a next day forecast delivery schedule and send to service team at the end of each day
  • Responsible of making sure Release/Receipt Acknowledgement forms and Items Shipped Loose forms are filled out prior to any new delivery for customer to sign
  • Work with all aspects of the Service Department to schedule local deliveries with our lead driver, driveaway company or trucking company, which will be defined by management.
  • Schedule Uber for drivers
  • Confirm with our DMV Department that DMV is good, and that temp tag is on windshield.
  • Confirm that vehicle has funded
  • On Lease and Loan vehicles: confirm we have signed Lease/Loan Agreement and vehicle insurance prior to delivering
  • Responsible for daily management of lot porters
  • Update Excede inventory status and locations with accuracy as assigned between Transportation Coordinator and Lot Porter
  • Communicate with foreman for production schedule daily to identify inventory status changes and ensuring production units are accessible
  • Look through 360 data, make sure it’s being used, and Location contacts have everything they need
  • Training Each location on Emerge/Record 360
  • Bring on new carriers and test them out
  • Vet carriers out of IN before using them all locations
  • Make sure all carriers are using tracking on every move
  • Run weekly, monthly, and quarterly Emerge/Record360 compliance reports
  • Going through Emerge movements to ensure ETA dates for each move are updated
  • Making sure there is communication on Emerge between the trans. Coordinator and carrier
  • Schedule meetings with new carriers to ensure they know how to use Emerge correctly for CBS
  • Go through hauling invoices to ensure amounts and carriers are correct
  • Verify $$$ amounts are the same across Excede, Emerge, and Invoices
  • Send invoices that need cashed out to the correct service location team
  • Backup for national inventory when Transportation Supervisor is unavailable
  • Other duties as assigned

Minimum Job Requirements:

  • High School Diploma or equivalent and two years general office experience
  • Excellent attention to detail and follow up skills
  • CDL preferred, or willing to obtain upon hire. Clean DMV record
  • Willingness and ability to work as a team player
  • Strong verbal and written communication skills
  • General knowledge of office practices and procedures
  • Self-starter, highly motivated and exhibits great initiative
  • Computer literate (Word, Excel)

  • Work will be performed both in an office environment as well as an outside area
  • May be required to do frequent kneeling, stooping, squatting, crawling and climbing to perform multiple tasks of position
  • Must have good manual dexterity
