We are searching for an experienced Administrator, Parts Compliance at our Warehouse in Sumner, WA.

Description

The Parts Compliance Administrator will be responsible for handle incoming phone calls and/or emails from car dealerships to build effective communication channels for problem resolution. You will be responsible for addressing concerns related to delivery concerns, dealer claims, returns issues and general service updates when and if changes occur.

Additionally, the Administator will be required to keep detailed data for thorough reporting on occurrences and resolutions. Tools such as ERP systems, databases, spreadsheets, queries, and reports will be utilized by the dealerships and assimilate that with quantitative data and policy guidelines to take the appropriate actions to resolve dealer problems.

Key Responsibilities

  • Inbound quality focus, warehouse stock inspections, supplier quality announcements, part defect/damage/wrong part Supplier claims submissions, inbound parts inspection flag audits, re-labels and re-pack requests, Supplier re-works, engine/transmission repair reports, engine core processing, and inbound audits.
  • Stock inspection and quality announcement to achieve timely completion.
  • Participate in weekly network wide part compliance specialists’ meetings to review KPIs and discuss countermeasures for inbound quality improvement.
  • Participate in root cause analysis, implementation of countermeasures/audits including documentation of all improvement activities on TFT Smartsheet.
  • Participate in weekly warehouse pending OS&D KPI meetings to support the achievement of pending OS&D targets, including quarterly reviews of supplier claim scorecard performance.
  • Complete quarterly Supply Chain Operations surveys of all facing dealers
  • Field part distribution operations concerns voiced by dealers
  • Coordinate distribution center resolution of internal failures
  • Manage overall dealer claims at the warehouse level and coordinate the responses from assigned teams
  • Manage the fleet of returnable assets and hold dealers, carriers, and the warehouse team responsible for the timely return/processing of the assets
  • Maintain warehouse contact list
  • Coordinate monthly dealer visits
  • Support ad-hoc requests from senior management in transportation, quality, and PDC operations Training and Sustaining Process Improvement
  • Answer all dealer phone calls and emails in a professional, courteous, and friendly manner
  • Receive and respond to requested information on delivery, claims and returns questions from OE Dealership, Regions, Ports, MPA Internal Staff
  • Coordinate with MPA internal departments and brands for OEM, RPSMs, DPSMs, and PBDMs to ensure alignment to

Work Schedule & Travel Requirements

  • Monday through Friday, 7:00 am - 4:00 pm.
  • No travel is required for this role.

Education Requirements

  • High School Diploma is required.

Experience Requirements

  • 4-6 years of related experience in Warehousing/Distribution Center Operations.
  • PDC / Dealer Parts Dept process awareness, PDC Operational Process experience, transportation experience.
  • Basic background in customer service, freight handling procedures, receiving, packaging requirements, and other basic quality management skills.
