Office Administrator

Hours: 40 Hours Per Week, at our facility in Northeast Portland

Work location: 12450 NE Marx Portland, Oregon 97230

Rate of Pay: $25-$35 per hour, DOE

Working days are Monday-Friday, 8am-4pm. There is some flexibility to these hours, if needed.

Mickelberry Gardens is a Portland-based dietary supplement company. We manufacture a line of products based around honey, beeswax, bee pollen, propolis, and medicinal herbs. Environmental sustainability, sourcing ingredients from local producers, and being a great place to work are core company values. We pride ourselves in quality and expect excellence from our staff. We currently have a staff of 11, along with 2 working owners. We operate in a laid-back and friendly environment, and we work hard to meet our goals.

This is an in-person job. The workspace is spacious, and filled with light and plants!

We’re looking for someone with strong administrative skills to join our team. Excellent communication skills, customer service experience, and Excel savvy are essential for this position. Some accounting, Quickbooks, and inventory experience is a big plus.

As a growing small business, the day-to-day workflow in this position is varied and the Office Administrator plays an important role in keeping everything operating smoothly. The Office Administrator works closely with the owner, production lead, and shipping department. Teamwork and collaboration across departments is important.

Job Description and Duties:

Provide Excellent Customer Service: Respond to customer inquiries via email and telephone, with friendly and helpful rapport. Assist in-person customers with their local pick-up orders.

Estimated daily time spent on customer service: 25%

Generate invoices, packing slips, and other shipping documents to provide to Shipping and Warehouse staff, using Quickbooks software and Excel.

Estimated daily time spent on generating invoices and shipping documents: 15%

Provide support to shipping department as needed – helping to gather orders, print shipping labels, and input data after orders have been packed.

Estimated daily time spent on shipping support: 10%

Inventory Management: Work with production, shipping, and QC team to take monthly physical inventory and input inventory values into our accounting software.

Estimated daily time spend on inventory management: 0-10%

Purchasing: Analyze inventory and work with owner and other staff to shop for and order materials on a weekly basis. Check pricing and cost compare with approved vendors. Create purchase orders and submit to owner for approval.

Estimated daily time spent on purchasing: 0-5%

Accounting Support: Assisting owner with Accounts Payable and Receivable. Entering checks, bills, and receipts into accounting software. Keep quarterly accounting spreadsheets up to date.

Estimated daily time spent on accounting support: 5%

Payroll Support: Totaling staff hours and gathering other info needed each pay period. Helping to onboard new staff by printing and organizing all documents required.

Estimated daily time spent on Payroll support: 0-5%

Website Support: Working with owner to make updates to the website and online stores (Shopify, Etsy, Faire, and Amazon platforms) as needed.

Estimated daily time spent on website support: 5%

Office Support: Keeping the office organized and stocked with supplies.

Estimated daily time spent on office support: 2%

Additional as-needed projects: Assist owner and team with various projects and goals that come up – these may involve research, building spreadsheets, tracking information, developing company documents, preparing for staff meetings, and improving processes.

Estimated daily time spent on additional projects: 0-10%

Benefits Offered:
**We offer paid sick time and vacation time. Sick time begins accruing at the start of work, and vacation time begins accruing after 6 months of employment.
**We offer a health insurance reimbursement - you maintain your own individual health plan, and we'll contribute $275 per month towards that cost, giving you the flexibility to choose the plan that is best for you.
**We pay through a 30 minute lunch break, and provide snacks, tea, and coffee to enjoy while you're at work.

**$40 per month (retail value) in Mickelberry Gardens products provided to use and share with family and friends.

**$5.00 daily reimbursement available for commuting via bus or bike
