Located in the heart of the community of Washington Heights in Northern Manhattan is a 705-bed rehabilitation and nursing care facility with a mission to provide quality care through diverse programs and services designed to support health and independence to individuals needing short-stay or long term inpatient care.

Creates monthly scheduling calendar
Assigns schedule for all day shift nursing personnel
Reviews assignments created by staffing coordinator(s) for evening and night shift
Collaborates with managers to identify staff to “BUDDY” with new employees and schedule accordingly
Posts preliminary schedule 3 weeks in advance, identifies errors, responds to requests for changes.
Records revision to preliminary calendar
Posts monthly calendar 2 weeks in advance of schedule
Approves/Denies requests for time off
Creates and distributes annual time off letter of instruction with request form
Approves requests based on seniority
Makes alternative offer for those receiving denials
Maintains requests in order received (after annual time has passed) and approves based on submittal
Review responses prepared by staffing coordinator(s) for evening and night shift
Replaces Staff as result of unexpected absences
Identifies available staff without use of OT
Contacts day shift staff identified and makes request that they provide coverage needed
Approves OT within the guidelines approved by the DNS, HR and COO
Collaborates with management to assign staff in accordance with skill and safety for residents
Records changes on allocation sheet
Maintains allocation sheet for further analysis
Processes payroll biweekly
Maintains employee attendance records (including vacation time, sick days).
Prepares time-cards of staff and submits for final approval from DNS
Effectively utilizes KRONOS systems as it pertains to job responsibilities and in accordance with company policy.
Monitors compliance with attendance, punctuality, rules of conduct and disciplinary action policies and bring forth concerns to DNS and HR.
Assists in all clerical functions of the Department of Nursing.
Answers telephones, routes callers, takes messages and provides routine information to callers.
Communicates effectively with personnel and other departments as necessary.
Handles confidential staffing related matters for the department and the Directors of Nursing with appropriate urgency and discretion.
Acts as the Office Manager in his/her absence.
Associates degree preferred
Minimum 2 years experience in a healthcare staffing/scheduling position
Microsoft word, excel and e-mail knowledge required. Experience using timekeeping and/or scheduling software preferred. (Kronos)
Excellent organizational, multi-tasking and problem-solving skills.
Ability to work flexible hours to meet the needs of residents, their families and designated representatives.
Ability to promote teamwork.
Effective time management skills.
Speaks, reads and writes English to the extent required by the position.
