Technology Position


Job Description:

The Data Systems Specialist is a professional responsible for ensuring compliance with data management and reporting requirements related to Special Education programs in a K-12 educational setting. The primary focus of this role is to maintain accurate and confidential records of students receiving Special Education services, ensuring adherence to legal and regulatory standards. Responsibilities include composing and preparing reports and providing accurate data to state and federal agencies. This position is part of the Technology Department Data Team and will report to the Director of Technology. The position will work directly with the Special Education department.


Responsibilities:

  • Utilize the district's student management system (Skyward) to manage student records for Special Education. Including but not limited to registration, withdrawal, and routine maintenance of student data records.
  • Collaborate with Special Education teachers, administrators, and other relevant staff to collect and input data accurately.
  • Works directly with the Special Education Director/Assistant Director to meet deadlines for students in contracted placements in programs outside the school corporation.
  • Stay informed about federal, state, and local laws and regulations regarding Special Education data management and Indiana student data laws.
  • Ensure that all data management practices align with legal requirements, including privacy laws such as the Family Educational Rights and Privacy Act (FERPA), Health Insurance Portability and Accountability Act (HIPPA), and other state and Federal rules and regulations.
  • Provide training to school personnel on data compliance procedures and requirements.
  • Generate and submit required Special Education reports to State, Federal, and other agencies.
  • Prepare reports for internal use, analyzing trends and patterns in Special Education data.
  • Conduct regular audits of Special Education records to ensure accuracy, completeness, and compliance and implement corrective measures when discrepancies or issues are identified.
  • Utilize technology tools and software to streamline data management processes.
  • Communicate effectively with parents, teachers, and administrators regarding Special Education data-related matters.
  • Provides requested documentation, spreadsheets, and reports to auditors and answers questions concerning compliance issues and concerns.
  • Address and resolve issues related to data discrepancies or compliance concerns and implement strategies to prevent future data compliance issues. Maintain thorough documentation of data compliance processes and actions to address any issues.
  • Assist with other data-related responsibilities as needed. (Roll Over, Updates, Scheduling, Etc.)
  • Perform other duties as assigned.


Qualifications

  • An understanding of Skyward and other software programs used for Special Education and Student Data Management
  • Strong understanding of technology (Gsuite, Excel, data files, etc.)
  • Special Education reporting requirements for the State of Indiana using an SMS
  • Must be able to develop and maintain instructional materials in written and video formats.
  • Must have an understanding of K-12 education and the Indiana Department of Education’s Online Reporting and Special Education.
