Job Overview: The individual responsible for providing exceptional customer service by warmly greeting and assisting customers throughout their entire appointment journey, ensuring that all their needs are met with care and attention. A strong background in handling various daily office tasks, such as efficiently answering phone calls, sending faxes, scanning important documents, and maintaining organized filing systems. In addition to these tasks, the individual is also responsible for managing front desk operations, including handling incoming and outgoing mail, carrying out reception duties, and skillfully managing customer inquiries. Overall, this individual acts as the front-line representative, creating a positive and welcoming atmosphere for customers while efficiently managing various office-related tasks.
Responsibilities and Duties:
  • Welcoming guests, patients, and employees with a friendly demeanor, and providing them with any necessary information or assistance.
  • Handling incoming calls, directing them to the appropriate personnel, and taking messages when necessary.
  • Handling emails, letters, and other forms of communication, ensuring timely responses and proper organization of information.
  • Skillfully manage and organize inbound mail and daily package deliveries, catering to the needs of co-workers and maintaining a smooth workflow.
  • Record and manage relevant information with utmost precision and attention to detail.
  • Efficiently compile and maintain PAP downloads.
  • Take charge of scheduling meetings and appointments for Administrators, ensuring effective time management and coordination.
  • Handle the scanning and routing of essential documentation to multiple departments, facilitating seamless communication and collaboration.
  • Coordinate and oversee requests for EPIC and EMR access across various departments, ensuring timely and accurate access privileges.
  • Verify the accuracy of patient medical information while diligently obtaining any missing details, ensuring the completeness of records.
  • Enter identified documentation into patient charts with precision and care, contributing to comprehensive and well-organized medical records.
  • Continuously strive to improve the accuracy of patient medical records and for the purpose of maintaining high quality of care and facilitating proper reimbursement procedures.
  • Working closely with other team members and departments to ensure effective communication and cooperation.
  • Resolving administrative issues and finding solutions to challenges that may arise.
  • Complying with company policies and procedures to maintain a consistent and organized office environment.
Qualifications:
  • 1-3 years’ experience in a similar role.
  • Proficient in Electronic Medical Records (EMR) software
  • Advanced knowledge of best practices in medical recordkeeping.
  • Experience working with electronic medical records system(s)
  • Strong oral and written communication skills
  • Knowledge of medical terminology
  • Demonstrate soft skills to create concise, professional documents.
  • Excellent organizational and multitasking skills
  • Attention to detail and accuracy
  • Ability to work independently or as part of a team.
Pay starts no less than $17.50/hour
