McGinnis and Associates is Hiring an Office Manager/Bookkeeper Near Reno, NV

1. Summary

Seeking an office manager for an established environmental engineering firm in Reno. We are located in the heart of Reno and just moved to a larger office to accommodate our growing staff. A rare turnover leaves us in need of a new office manager to help make this all happen. This is a 25 to 30 hour a week job (yes you can drop off kids at school, work, then leave to pick them up or enjoy many long weekends) with the potential to move to full time as the company grows but still have benefits. Compensation at $19 – $24 per hour.

2. Responsibilities

  • Financial Record Keeping (Quickbooks Online):
  • Maintain accurate financial records for the company.
  • Enter data related to financial transactions, including incoming and outgoing checks.
  • Generate work orders and track financial activities.
  • Budget Assistance:
  • Assist with budget preparations.
  • Monitor expenses and revenue to ensure financial stability.
  • Manage credit lines.
  • Accounts Management:
  • Handle accounts payable and accounts receivable.
  • Reconcile bank statements.
  • Update the trial balance, profit-loss statement, and balance sheets.
  • Monitor company credit card use.
  • Payroll Management (currently use a payroll processing service through Quickbooks):
  • Manage payroll processing.
  • Ensure timely and accurate payment to employees.
  • Manage employee benefits
  • Purchasing and Inventory:
  • Receive requests for materials and equipment.
  • Manage vendors and other business to business vendors
  • Review invoice prices and make necessary adjustments.
  • Tax Compliance:
  • Working with our tax professions, assisting with completing annual tax forms.
  • Review and facilitate other local and state tax and licensing processes.
  • Contracting
  • Maintain contract files and associated record keeping
  • Assist in preparing contracting documents in coordination with legal support and management
  • Insurance
  • Process company insurance policies
  • Participate in selection and manage vendors for health insurance
  • Provide insurance paperwork to clients as needed
  • Office Environment
  • Maintain office supplies
  • Working with IT and other vendors, ensure office equipment is operational
  • Work with management and staff to maintain a safe and comfortable working environment that supports productivity and positive work experiences.
  • Communication and Negotiation:
  • Communicate effectively with employees, external vendors, and suppliers.
  • Negotiate favorable deals with suppliers.
  • Confidentiality and Trustworthiness:
  • Handle sensitive financial information with discretion.
  • Maintain trust by ensuring confidentiality.

3. Qualifications

· Education: A degree in a business related field is desired but not required. Experience and an ability to bring a good energy to our work environment is highly valued.

  • Experience: A minimum of three to five years of previous experience in bookkeeping and accounting is necessary to become an office manager. This should include working with quickbooks.
  • Certification: this can include QuickBooks and other HR and related certifications

4. Skills

  • Bookkeeping Knowledge: Familiarity with bookkeeping principles and practices.
  • Software Proficiency: Ability to use Quickbooks Online.
  • Numerical Abilities: Strong numerical skills for accurate financial management.
  • Communication: Effective communication with employees, vendors, and suppliers.
  • Patience: Bookkeeping can be repetitive; patience is essential.

Trustworthiness: Handling confidential materials requires discretion.

Job Type: Part-time

Pay: $19.00 - $25.00 per hour

Expected hours: 25 – 30 per week
