We are looking for an onsite Office Manager to organize and coordinate administrative duties and office procedures in a fast-paced environment. Your role would be to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and client satisfaction.

Bonus points if you have an IT skill set.
Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations. A strong candidate will have the ability to change directions without prior notice in order to prioritize urgent tasks as they arise. They will take pride in running the office in an efficient manner and have a desire to be helpful with all work that is asked of them. Willingness to work overtime and weekends is expected during deadlines, such as January, April, and October.
Responsibilities:
Managing office schedule, greeting, and checking in clients
Assisting clients and staff wherever needed
Assisting with communication and follow-up for client inquiries regarding projects
Maintaining the office equipment and arranging necessary repairs
Updating and managing client, employee, project, and engagement lists
Sending mass email correspondence to tax, payroll, and bookkeeping clients
Maintaining and updating the admin binder
Purchasing supplies, which includes running to Costco for office supplies and snacks, ordering office supplies on company Amazon account, and/or running to Office Depot/Staples to purchase any other necessary office materials.
Running errands: dropping off mail at the post office and mailing priority items, checking PO Boxes for our clients, and making deposits for McDermott and our clients
Coordinating with the IT department on all office equipment; maintain computer inventory list, field all IT issues, troubleshoot said IT issues.
Completing assembly of tax returns and payroll reports
Entering bill payments into CORE and preparing deposits
Helping to track CPE credits and set-up CPE courses for tax preparers
Planning in-house or off-site activities, like parties, celebrations, and conferences
Desired Experience/Knowledge Base:
Minimum 2 years as an Office Manager or Administrative Assistant
Proficiency in Microsoft Office: Outlook, Excel, Word,
Proficiency with office equipment: multi-line phone, fax machine, and printer/scanner
Excellent time management skills and ability to multi-task and prioritize work
High attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
Ability to multi-task and switch gears quickly
A creative mind with an ability to suggest improvements

Pay: $17.00 - $23.00 per hour
