Matrix Design Group, Inc., an employee-owned engineering, planning and environmental consulting firm is actively seeking an Payroll Specialist/HR Administrator. The successful candidate will have experience with accurately performing all aspects of multi-state payroll, maintaining compliance with all state and federal payroll laws. Additionally, they will have HR experience, which may include benefits administration, new hire orientation and onboarding, leave administration, and HRIS administration.

Pay Range: $30 -$35/hour. The expected pay range for this position is displayed in accordance with the Colorado Equal Pay for Equal Work Act. Compensation will be based upon education, qualifications, experience, and work location.

Location: This position may be located in our Colorado Springs, Denver or Phoenix office.This position may be considered for a hybrid work arrangement, with a minimum of three days in the office; fully remote is not available.

Summary: You will be responsible for quality checking bi-weekly and supplemental payroll runs prior to approval/submission to ADP. You will work closely with our payroll practitioner to ensure knowledge of all payroll processes, maintain payroll documentation, resolve issues/discrepancies, research regulations and implement new processes, as well as be responsible for the occasional processing of payroll to maintain knowledge of all procedures and act as a back up during vacations/leaves. Additionally, as a member of the HR team, you will support a variety of human resources tasks, which may include but not limited to new hire orientation, benefits, reporting, audits, and assisting employees with day-to-day questions.

Essential Functions:

  • Review bi-weekly payroll for accuracy, compliance, and completeness prior to final submission to payroll processing companies.
  • Accurately process payroll at least quarterly, but preferably every couple of months.
  • Perform regular audits of payroll records and procedures.
  • Interpret pay policies and regulations and ensure compliant and accurate application.
  • Troubleshoot payroll issues.
  • Assist with audits (benefits, DOL, wc, internal, etc.).
  • Accurately enter new hires, terminations, promotions, and other employee changes into payroll/HRIS/timekeeping.
  • Run reports using ADP and Unanet (or current HRIS/Accounting) systems as requested by HR team, management, or marketing staff.
  • Maintain strict confidentiality of employee files/information and any confidential Company information.
  • Support benefits administration, which may include but not be limited to accurately entering new enrollments, terminations, and changes into vendor systems, responding to participant questions, and supporting annual benefits open enrollment.
  • Facilitate new hire orientation for local hires and act as back-up for other locations.
  • May assist with filing and or management of work comp and auto insurance claims.
  • Assist with employee communications.
  • Participate in company-wide committees as appropriate.
  • Other duties as assigned.

Competencies:

  • Advanced understanding of state and federal payroll and employment laws to include but not limited to FLSA, garnishments and leave laws.
  • Strong problem-solving ability: ability to identify and resolve problems in a timely manner; develop alternative solutions; use reason even when dealing with emotional topics.
  • Excellent detail orientation.
  • Proficient in Microsoft Office applications (to include Teams and SharePoint), with advanced knowledge/skill in Microsoft Word, Excel and Outlook.
  • Good knowledge of benefits administration to include health and wellness, time off, and retirement benefits.
  • Must have a professional appearance and demeanor.
  • Excellent written and verbal communication skills.
  • Must be extremely organized, have a high level of initiative and flexibility.
  • Able to work independently with minimal supervision.
  • Able to interact professionally with staff at all levels of the organization.

Education and Experience:

  • Minimum of five years of experience in a professional office environment. 
  • Minimum of five years of multistate payroll experience for both exempt and non-exempt staff. Payroll experience must include all aspects of the payroll process.
  • Experience setting up state payroll tax and unemployment insurance accounts.
  • Recent experience using ADP Workforce Now payroll processing software will be given preference.
  • High school diploma required, degree in accounting or human resources a plus.
  • Valid driver's license, in conjunction with successfully passing the Company’s MVR.
