Martek Global Services Inc. is Hiring a Business Specialist (Hybrid) Near Washington, DC

Position Overview:
Martek is seeking a dynamic and highly organized Business Specialist to join our operational teams. The successful candidate will provide comprehensive support to various departments with a special focus on proposals, business operations, travel coordination, and assistance to the Chief Executive Officer (CEO) and President. This role demands exceptional multitasking abilities, strong communication skills, and a commitment to professionalism.
This role is perfect for a new graduate wanting to learn more about the World of Government Contracting, because they will have a hand in all areas of the business.
Responsibilities:
CEO and President Assistance:

  • Manage executives’ calendars, scheduling meetings, conferences, and teleconferences.
  • Prepare meeting agendas, compile materials, and provide daily updates on schedules and tasks.
  • Provide administrative support including managing correspondence, filing, and document preparation.
  • Serve as the primary point of contact for the executive, handling incoming communications and drafting correspondence, ensuring timely responses and follow-up.
Travel Coordination:
  • Coordinate complex travel itineraries including flights, accommodation, and transportation.
  • Prepare travel agendas, expense reports, and related documentation.
  • Proactively monitor travel logistics and troubleshoot issues during travel.
Proposal Support:
  • Contribute to proposal preparation, ensuring accuracy, compliance, and quality.
  • Research government contract sites and regulations to enhance proposal quality.
  • Conduct subject matter research and support various project work.
Business Operations & General Office Support:
  • Maintain office aesthetics and conference room setup.
  • Manage office supplies, parking passes, and internal office calendar.
  • Assist with mail distribution, facility-related matters, and kitchen maintenance.
  • Provide administrative support across departments as needed.
  • Answer main office line with minimal calls and escort guests.
Educational & Experience Requirements:
  • Bachelor’s degree with a preference in English, Business, or Communications.
  • 1-3 years of experience in an office environment.
Additional Required Knowledge and Skills:
  • Proven experience in a fast-paced office setting.
  • Exceptional customer service and communication skills.
  • Proficiency in Microsoft Office Suite and standard office practices.
  • Strong problem-solving abilities and proactive mindset.
  • Excellent attention to detail and organizational skills.
  • Discretion and integrity in handling confidential information.
  • Ability to work independently and collaboratively within a team.
