Job Description:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Owner. The ideal candidate will be able to handle a wide range of administrative tasks efficiently and with attention to detail. This role requires excellent communication skills, a proactive attitude, and the ability to multitask effectively.
Responsibilities:
Daily Tasks:
- Checking mail on a daily or every other day basis.
- Scanning and sending mail as necessary.
- Monitoring and responding to emails in Ambrish's inbox.
- Managing sales-related correspondence, including sales leads, hotel planner, CVENT, and Meeting Broker.
- Drafting sales contracts using provided templates.
- Updating hotel DSR (Daily Sales Report) in Fathom on a daily basis.
- Keeping track of Ambrish's attendance on a daily basis.
- Coordinating with vendors and properties as needed.
Occasional Tasks:
- Handling water deliveries as required.
- Assisting with applications for insurance, credit forms for purchases, and applications for the county, as needed.
- Creating Standard Operating Procedures (SOPs) on HelpJuice.
- Completing side tasks such as disposing of printers, reorganizing office space, and setting up communication channels between vendors and properties.
- Ordering office supplies such as confidential envelopes, pens, white-out, stamps, etc.
- Managing Property Statements and Personal Property Statements for entities/properties annually.
- Monitoring pool drain cover replacements, insurance policies, fire inspections, and food permits.
- Keeping track of ServSafe details for employees.
- Coordinating inspections and repair projects for the properties.
Weekly Tasks:
- Filing paperwork at least once a week.
- Updating targets, Key Performance Indicators (KPIs), etc., in Fathom on a monthly basis.
- Synchronizing calendars.
Annual Tasks:
- Preparing the Filing Box for annual filing.
- Packing tape the edges of the box to ensure smooth rolling of filing folders.
- Organizing filing tabs in numerical order.
- Keeping tabs on the left side for entities without physical locations and on the right side for physical locations.
- Placing the tab at the end of filed papers to prevent sticking and facilitate future filing.
Requirements:
- Previous experience as an executive administrative assistant or in a similar role preferred.
- Excellent organizational and time-management skills.
- Strong communication skills, both verbal and written.
- Ability to prioritize tasks and manage multiple deadlines.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Attention to detail and accuracy in completing tasks.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently and as part of a team.
- Flexibility to adapt to changing priorities and responsibilities.
