Marion Senior Services is Hiring an Accounting Assistant Near Ocala, FL

SUMMARY

This position is responsible for the day-to-day coordination of the billing and payment processes for Marion Senior Services

ESSENTIAL DUTIES AND RESPONSIBILITIES includes the following.

· Responsible for coordination of the Marion Senior Services billing processes.

· Compiles all back-up documents and/or justified expenditures to be presented to the appropriate program for reimbursement or payment.

· Responsible for meeting appropriate Federal, State, and Local requirements to facilitate compliance by all parties; may assist in arbitration and resolution of conflicting interests, as necessary.

· Coordinate’s receipt of grant awards and contract documentation; maintains proposal and funding records in database systems, and prepares scheduled and special reports, studies, and analyses, as necessary.

· Compiles, codes, and maintains copies of all invoices.

· Prepares and processes all check requisitions received from vendors.

· Responsible for maintaining distribution code list, checking and coding invoices before checks are written and distribution of checks after completed and signed.

· Assures all invoices are properly executed and have attachments as required and file accordingly.

· Responsible for Meals on Wheels, Community Care & ADI Program, Transit accounts receivable, including billing, receipts and reconciliation.

· Responsible for all Purchase Orders.

· Prepare weekly bank deposit and banking spreadsheet.

· Received and record all cash, checks and credit card donations.

· Maintains equipment records and schedules and performs annual inventory.

· Assists with budget worksheets, schedules, Service Cost Reports, cost sharing methodologies, staff time allocations, and audit schedules

· Assists with special projects as assigned.

· Other duties as assigned.

SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. · Must be able to successfully pass a Level 2 background check as mandated by the Department of Elder Affairs guidelines.

· Subject to pre-hire, post-accident, and random drug screening in compliance with the Florida Department of Transportation guidelines.

EDUCATION and/or EXPERIENCE

· Minimum of an Associates degree in accounting and/or business-related areas.

· Four years of Accounting experience.

CERTIFICATES, LICENSES, REGISTRATIONS

· Valid Florida Class E Driver’s License and Driving Record that meets company’s insurance standards is required.

MINIMUM NECESSARY RESTRICTION TO PHI To perform the functions of this job, persons in this position may require access to or exposure to client information, medical records or computer applications that contain Protected Health Information including, but not limited to electronic medical information, client medical records, written information, faxed information or spoken word. Incidental exposure of Protected Health Information may occur during the workday.

Incumbents in this position must make all reasonable efforts to preserve the confidentiality and integrity of Protected Health Information and not to use or disclose more than the minimum amount of Protected Health Information necessary to accomplish the intended purpose of their position responsibilities.

LANGUAGE SKILLS Ability to read and interpret common program guidelines and procedures such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write correspondence.

MATHEMATICAL SKILLS

· Ability to add, subtract, multiply or divide numbers.

· Ability to apply concepts such as fractions, percentages and proportions to practical situations.

· Basic and/or advanced Accounting principles.

REASONING ABILITY

· Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

· Ability to deal with issues involving a few concrete variables in standardized situations.

PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Variety of walking, standing, sitting, stooping. Requires normal range of hearing, vision and manual dexterity to operate keyboard, telephone, photocopier, calculator and other office equipment as needed. Occasional stress from dealing with multiple demands.
