**Director of Catering**

**Position:** Director of Catering (Full time #527741 )

**Property / Office:** Mandarin Oriental, Boston

**Location:** Boston, MA, United States

It is the mission and intent of this position that the incumbent support directing the creativity and delivery of the highest level of catered event and meeting experience to all event stakeholders and participants. Work closely with food and beverage in order to passionately support positioning the hotels event facilities and catering services on the highest quality tier. Support the efforts to ensure the catering and event sales team exceed revenue goals for all contracted guestroom and suite commitments, catered events, and meetings market segments. At all times the incumbent will ensure comprehensive servicing for all clients and act as a liaison between customers and operational departments.

The Director of Catering will oversee overall day to day operation, planning, and long term outlook of Catering and Conference Management Department.

- Provide leadership and support for catering managers, conference service managers, catering coordinators, banquet managers and assistant banquet managers.

- Prospects business

- Generates Banquet Event Orders

- Generates Group Resumes

- Generates business correspondence

- Generates function room diagrams

- Utilize Delphi system for accurate blocking of events, groups, traces, and generation of BEOS

- Obtain guarantees for food and beverage functions

- Check Delphi Daily and Weekly reports

- Obtain necessary approvals/permits/insurance certificates for functions not held in Conference Center

- Attend daily BEO meeting whenever possible

- Communicate all group information/changes to existing information to appropriate hotel colleagues in an accurate and timely manner

- Entertain clients, as appropriate

- Maintain an active trace system for all assigned groups

- Visit all primary and secondary competition

- Remain available to hotel colleagues via radio (with earpiece) while on property and via hotel provided cellular phone at all times

- Audit banquet checks

- Contract business with approved vendors, as appropriate

- Approve payment and provide backup for contracted vendor business

- Coordinate all aspects of conferences as assigned by self to include but not limited to:

* Food and beverage requirements

* Timing of events

* Audio visual requirements

* Special attention guests

* Room type allocation

* Rooming list

* Amenities

* Function room setup

* Group transportation

* Type of check-in, check-out to include satellite check-in

* Special meal requests

* Arrival/departure manifests

* Bag pulls

* Luggage storage

* Complimentary rooms

* Billing instructions

* Authorized signatures

* Room deliveries

* Telephone and internet requirements

* Box storage and delivery

* Power requirements

* Security requirements

* Key requirements

* Expected F&B outlet usage

* Develop yearly budget

* Develop monthly forecast

* Monitor payroll of department

* Review and approve departmental PAFs

* Assign conference groups and social events to departmental management staff

* Attend daily communications meeting

* Attend weekly department head meeting

* Attend scheduled food and beverage meetings

* Develop and update banquet menus, as appropriate

* Revise standard and procedures for department, as necessary

**PHYSICAL DEMANDS ANALYSIS**

* Head and neck rotation: prolonged periods of time

* Elbow flexion: continuous while sitting at desk

(Some work stations had ergonomic chairs with armrests. Some chairs had no armrests. Those with armrests require passive elbow flexion. Those without armrests require active elbow flexion when arms are not resting on desk

* Finger movements: continuous during computer use

* Going through papers requires repetitive pronation and supination on a continuous basis.

The incumbent will also be responsible for the follow-through of catering and event and the solicitation for new business. The Catering Sales Manager reports directly to the Director of Sales & Marketing and supervised the department sales coordinators.
