Job Summary

The Facilities Coordinator is responsible for tracking and timely resolution of all maintenance requests submitted by the stores.

Responsibilities

  • Coordinate with store management and vendor partners to support the maintenance needs of our retail stores.
  • Monitor, track and evaluate the work performance of vendors to ensure they are performingaccording to the contract standards. Take appropriate action when vendors fail to meet their obligations.
  • Responsible for work order flow for retail work requests.
  • Schedule and manage inspections and repairs for retail locations.
  • Coordinate vendor maintenance issues & follow up on the status of vendor jobs.
  • Interface with landlords for all facilities to ensure repairs are completed timely and accurately.
  • Coordinate repair schedules for key store services.
  • Process department invoices for approval and payment.
  • Perform new store set-up procedures.
  • Creating purchase orders for stores within budget.
  • Initiate contact with vendors to check on availability and lead times for products.
  • Routine purchase order review and follow-up.
  • Review and resolve supplier invoice discrepancies.

Qualifications

  • 3-5 years of maintenance and procurement experience
  • Experience with facilities management software (i.e. Service Channel)
  • Proficiency in Excel, Word and Outlook
  • Ability to manage budgets
  • Excellent attention to detail and interpersonal skills.
