**Job Title: Outpatient Operations Manager Job Location: Lincoln** **Immediate Supervisor: Director TherapyPlus Status: Exempt** **JOB OVERVIEW**The Occupational Health and Wellness Manager is responsible for daily operations and financial outcomes of Fit for Work and TherapyPlus Northwest. Oversees scheduling, recruitment, selection, evaluation, mentoring, retention, advancement and termination of personnel in order to meet individual client, patient and program needs. Works closely with TherapyPlus ProActive Clinic Manager and Director TherapyPlus to determine optimum clinical staff levels and service delivery design while coordinating effective scheduling and team member coverage. Collaborates with the TherapyPlus ProActive Clinic Manager for clinical leadership, clinician mentoring, clinician performance reviews, patient satisfaction and quality outcomes. Collaborates with others, both internally and externally, in planning and all phases of development as well as managing the profitability and growth of occupational health and wellness services. Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for quality service delivery and internal/external customer relations for Madonna as a whole, including upholding the mission and values for the department and facility. **ESSENTIAL FUNCTIONS** (INFORMATION)1. Manages growth and collaborates on strategy to increase profitability to achieve target and budget indicators of Fit for Work and TherapyPlus Northwest.2. Manages client company protocol adherence, updates and distribution to indicated medical providers.3. Provides oversight to ensure timely and accurate client company activity tracking and reporting.4. Completes timely and accurate client company monthly billings and activity tracking.5. Develops, implements and is accountable for occupational health nursing and DOT processes, protocols and policies to ensure compliance with regulations.6. Provides monthly and quarterly reporting of new clients, volumes, outcomes, billings and satisfaction results to supervisor.7. Utilizes QuickBooks or other software to generate monthly invoices for services such as health screenings, wellness programs, etc. Reports, tracks and facilitates bill paying process for clients, including following up with clients on outstanding accounts receivable.8. Orders and maintains supplies for FFW and Northwest.9. Assists with scheduling and communications for yearly flu vaccine clinics for client companies. Includes ordering and distribution of supplies and materials needed for clinics. (PEOPLE)1. Supervises the Fit for Work and TherapyPlus Northwest staff and communicates regularly with the business leaders to ensure appropriate information flow.2. Collaborates with involved departments for the development of new programs to ensure good external communication, organization and support.3. Communicates and collaborates effectively with all Madonna leaders and internal parties as well as all external parties.4. Supervises staff to ensure compliance with the facility’s various policies and procedures including hiring, scheduling and discipline.5. Interviews, mentors and supervises staff. Provides ongoing feedback and mentoring to team members regarding observed performance and talents to facilitate goal achievement and completes performance appraisals on a timely basis. Collaborates with TherapyPlus ProActive Clinic Manager for clinician mentoring and clinician performance reviews.6. Demonstrates positive interpersonal skills related to communication, conflict management and negotiation.7. Takes ownership of a client or patient/caregiver complaint and facilitates immediate service recovery.8. Functions as a role model through demonstration of professional conduct and ethical standards of practice and ensures compliance with policies and procedures.9. Promotes and supports the organization’s mission, values and guiding principle statements within the organization and to the public.10. Perceives customer relations as a primary focus and continually strives to satisfy the needs of every customer in all areas of the work force.11. Completes account management with client companies to ensure client satisfaction and identify areas of potential growth and new offerings.12. Assists in coordination of health screening events including ensuring appropriate staffing, equipment and supplies are prepared and available13. Provides back up coverage for FFW scheduling and service coordination.14. Follows instruction from supervisor to perform other functions as assigned in order to achieve the goals of the facility.**QUALIFICATIONS** High school degree or equivalent required; two years post high school education required. Bachelor’s Degree in Healthcare Administration, Business Administration, or related field is preferred. Two years relevant work experience in a medical field required, preferably as a medical office manager or administrator. Prior supervisory experience required. Proven knowledge and demonstrated applicable experience in clinical operations required. Excellent organizational and communication skills required. Demonstrated work experience reflecting strong business, operational, and analytical skills, excellent communication (written, verbal or other), and interpersonal and collaboration required. Proficiency with Microsoft Word, Excel and Spreadsheet, PowerPoint required. Must maintain valid Nebraska driver’s license and proof of good driving record.
