Madden's on Gull is Hiring an Event and Wedding Coordinator Near Brainerd, MN

Madden’s is currently seeking an Event & Wedding CoordinatorThe right candidate will present a personable, helpful, and professional image of the resort while coordinating all group activities. Handles all requests for groups of 10 people or more that require assistance with planning their event.

Duties and Responsibilities:

  • Make initial contact with all groups introducing yourself as the person to contact for all their planning needs.
  • Organizes and reserves all function space for meeting, dining, and recreation.
  • Inspects rooms and displays for conformance to needs and desires of group.
  • Handles walk-in and pre-arranged tours for groups.
  • Utilizes resort trace system for follow through on group accounts and sales personnel.
  • Assists resort management with developing and implementing resort specific selling strategies.
  • Develops an effective communication and information system with the resort team to disseminate details of upcoming groups, meeting events, and special events.
  • Assists with the completion of sales reports as requested by the DOS.
  • Maintains current knowledge of hotel rates, strategies, discounts, and promotions.
  • Prepares proposals for prospective and rebooking groups.
  • Maintains close communication with group contact throughout stay to ensure a seamless guest experience.
  • Entertains clients to establish closer relationships when appropriate.
  • Recommends and upsells all the resort’s facilities and services.
  • Arranges for VIP amenity deliveries for their respective groups.
  • Incorporates safe work practices in job performance.
  • Regular and reliable attendance.
  • Performs other duties as required including SALES during the off season.
  • Coordination of weddings throughout the season (April-November) ensuring continued growth of the wedding market.
  • Conducts Site Visits Facilitate wedding rehearsals and ceremonies.
  • Other duties may be assigned.

Skills and Abilities:

  • Basic knowledge of the food & beverage industry; hotel experience preferred.
  • Organized, great communication, calm under pressure, decisive & flexible.
  • High school diploma 
  • Two years related experience and/or training; or equivalent combination of education and experience.
  • Excellent listening, speaking, and writing skills will facilitate your ability to communicate with vendors, event attendees, and staff.
  • Must be able to work alongside other people and adjust your actions to theirs.
  • The ability to notice the most minute details of an event, from the typeface on the invitations to the kind of salad that will be served at the reception, is essential.
  • The ability to establish and maintain relationships with vendors is essential and will make your life easier when it is time to plan future events.
  • Adept at not only solving problems but maintaining your composure when doing so.
  • Time management.
  • Ability to stand, walk for extended hours at a time.
  • Weekends & Evenings required.

Education/Experience:

Associate degree (AA); three years related experience and/or training; or equivalent combination of education and experience. (Hotel Management, Event management preferred).

Supervisory Responsibilities:

This position does not require any supervisory responsibilities.

Work Environment:

Work is performed primarily in an office environment.

Physical Demands:

Primarily stationary such as sitting or standing for prolonged periods of time. Requires the ability to operate standard office equipment and keyboards. Must have the ability to stand, walk, talk/hear, both in person and by telephone, occasionally required to stoop, kneel, bend, crouch and lift up to 50 pounds.

Expected Hours of Work:

8:00am – 4:30pm Monday through Friday with occasional nights and weekends.

Travel:

Less than 10% travel required.

Certificates/Licenses:

  • Valid Driving License and company approval to drive company vehicles.
