Lutheran Immigration Refugee Service is Hiring a Program Assistant for HS/PRS Near Baltimore, MD

Reporting to the Director, the Program Assistant will support Global Refuge in delivering high quality programs and services for unaccompanied children and refugee minors. This position is focused on providing research and administrative support to federally funded and privately funded programs across the Children and Family Services department.

DUTIES

  • Managing and conducting research on areas related to child welfare best practices
  • Creating and distributing weekly departmental briefings for the Director and Associate Directors
  • Managing operations for the department or unit. This includes but is not limited to reporting; communicating with internal and external stakeholders; travel plans; coordinating conference presentations, and convening internal planning groups; negotiating meetings space; making arrangements for equipment and/or shipping; facilitating meeting/event contracts; planning and monitoring spending; preparing check requests for vendors, consultants, and others as well as submitting expense reimbursement requests.
  • Attending stakeholder meetings with the Director and preparing notes
  • Planning and scheduling regular meetings
  • Producing internal and external documents including meeting minutes, letters, forms, and preparing and monitoring budgets using Excel.
  • Documenting next steps and follow-up items subsequent to meetings/events; identifying priorities, responsibilities and timeframe for those activities; distributing assignments as appropriate; and tracking follow-through.
  • Assist with various programmatic communication processes and tools, including program memos, network communications, informational materials, and other communications and tools.
  • Maintain up to date contact lists, and address changes in databases
  • Manage monthly and periodic partner meetings.
  • Provide assistance for headquarters monitoring preparation including collecting memos, training plans, informal communications, throughout the year and filing reports
  • Other duties as assigned.

QUALIFICATIONS

  • Undergraduate degree strongly desired, preferably in Business Administration, or another relevant field.
  • A minimum of three years of experience providing administrative/data entry support required.
  • Proficient in web communications technology, including Teams, Go To Meeting, etc.
  • Experience working in a non-profit organization preferred.
  • Demonstrated willingness to explore and learn new technology (hardware and software) to increase the efficiency and effectiveness of the work.
  • Demonstrated organizational skills with meticulous attention to detail and ability to organize and prioritize, independently determining shifting priorities and responding appropriately.
  • Demonstrated strong project management skills and ability to coordinate multiple projects simultaneously.
  • Excellent verbal and written communication skills, especially in proofing communications.
  • Proven ability to exercise utmost tact and diplomacy when dealing with confidential issues and ability to discern confidential issues.
  • Ability and willingness to travel as needed up to 10% of the time.
  • Ability and willingness to travel to sites and attend relevant conferences up to 10%.
  • Commitment to Global Refuge's core mission and values and an ability to model those values in relationship with colleagues and partners; commitment to empowering refugees and migrants. Special Position Requirements: * Must be willing and able to clear a criminal background check for the past 7 years.
  • Must be willing and able to request and clear Child Abuse and Neglect background check in all states lived within previous 5 years, updated yearly.
  • Must be willing and able to obtain FBI fingerprint check every 5 years.
