DescriptionShort’s Travel Management, a leading provider of NCAA Athletic travel for collegiate athletics has a immediate opening for an Executive Assistant to the CEO. This position is located in Whitefish, MT.What You Can Expect In This RoleThe Executive Assistant is responsible for providing comprehensive support to the CEO, and Executive Team, performing daily administrative, professional, and personal activities and long-term agenda, anticipating needs, thinking critically, and offering solutions with a high level of professionalism and discretion.Essential Functions
  • Prioritize inquiries and requests and determine appropriate course of action, troubleshoot conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Execute leadership diplomacy bridging communication and interactions with high levels of integrity, maintaining credibility with the Executive Team and staff.
  • Prepare and manage company correspondence and communication, coordinate and attend meetings and events, taking notes as needed.
  • Proper calendar and email management.
  • Maintain business and personal travel arrangements as needed.
  • Complete projects directed by CEO, including assigning work to appropriate leaders and staff on behalf of the CEO.
  • Perform a broad variety of administrative tasks including assisting with special projects, producing documents/reports/presentations, collecting and preparing data, processing expense reports and flight information.
  • Serve as a point of contact for internal and external matters as it relates to the CEO including those of highly confidential or critical nature.
  • Provide personal support to the CEO (family) as it relates to errands, bookkeeping, ensure routine maintenance of house and vehicles as needed, schedule appointments, make reservations, and purchase gifts as needed.
  • We are a team at Short’s Travel Management and as such, you may be expected to assist in other departments or handle tasks outside of your typical position scope for the benefit of our clients or company. Other responsibilities as assigned.
RequirementsQualifications:
  • Business Degree preferred
  • 3 years of experience supporting a Director level or above as an assistant
  • Position is remote 3-4 days a week, however needs to be located in the Whitefish or surrounding areas.
  • Ability to be on-site at the CEO’s property’s 1-2 days a week depending on workload
  • Ability to travel to assist at meetings (Executive or Service Area)
  • Ability to critically think ahead and anticipate next steps for smooth operations
  • Ability to collaborate to accomplish tasks with a variety of people
  • Ability to negotiate challenges and logically/creatively provide solutions
Technical Skills
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with Human Capital Management systems.
  • Proven aptitude for technology and/or software solutions and analytical skills required.
