Brief Job Summary

This position provides administrative and clerical support for the County Administration and the Board of Commissioners.


Job Responsibilities

Provides administrative support to the County Manger, the Assistant County Manager, the County Attorney, and the County Clerk.
Serves as a backup to the County Clerk in their absence as follows: prepares agenda and minutes; informs Commissioners, the news media and the public of any non-regular meetings; posts meeting notices and agendas; mails agenda to subscribed members, and takes minutes as appropriate.
Maintains county administration calendar; including room reservations and meeting schedules.
Answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel, and assists with public records requests.
Responsible for distributing daily mail to the designated department mailboxes and within the administrative building.
Assists the County Clerk in preparing for and coordinating meetings, including preparing rooms, equipment, materials, refreshments, etc.
Prepares a variety of correspondence, memos, letters and forms for the administration staff, conducts directed research of county records and files as required.
Manages public requests for use of county property for events and keeps records of applications.
Prepares and submits vendor requests for the County Manager’s Office and County Attorney for payment; maintains receipts to pay credit card statements.
Maintains department budget folders for the County Manager and prepares reminders for departments and other related matters that pertain to the budget schedule.
Verifies and obtains the necessary signatures and information for official documents, reports, or expenditures.
Notarizes and attests documents.
Serves as back up for maintaining the digital media outlet in lobby.
Assists department managers and others with research requests.
Keys payroll information in for County Manager and Administration.
Receives and forwards complaints and concerns from the public.
Attends meetings with the County Manager, including the departmental manager staff meeting and others to record and present minutes.
Maintains office supply inventory; makes purchases as directed and approved by the County Manager.
Compiles monthly departmental activity reports.
Performs other related duties as assigned.


Minimum Qualifications

Knowledge and level of competency commonly associated with the completion of an Associate’s degree in a course of study related to office administration or similar..
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
Possession of, or ability to obtain, a valid driver’s license issued by the State of North Carolina for the type of vehicle or equipment operated.
Ability to obtain a Notary Public Certificate.

Work Environment/Physical Requirements

The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, stooping, walking, bending, or crouching. The employee frequently lifts light objects, uses tools or equipment requiring a high degree of dexterity, distinguishes between shades of color, and utilizes the sense of smell.
The work is typically performed in an office.
