Lifestyle Wellness Spa is Hiring a Spa Office Manager Near Katy, TX

We are looking for a highly motivated & experienced, Spa Office Manager to provide assistance with various healthcare & wellness services following established policies and protocols including but not limited to assisting with administrative functions. The Spa Office Manager functions as a member of the team performing a supportive role in the delivery of client care that is safe, effective, client-centered, timely, efficient, and equitable. The Spa Office Manager will be intaking clients, assisting providers with office procedures, working charts for upcoming appointments, greet and arrive clients, collect co-payments, schedule return appointments and assist client with information of all order and referral. This position does require occasional work in the evenings/weekend.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Overseeing the day-to-day management of the spa
  • Managing inventory and ordering all necessary spa supplies
  • Overseeing the client booking process
  • Creating a relaxing and rejuvenating atmosphere for our clientele
  • Overseeing the cleaning and maintenance of the spa
  • Remaining informed of all trends and improvements in the spa and beauty industries
  • Helps maintain compliance and client schedule for Physician
  • Greets clients and collections client information
  • Prepare clients for treatments and procedures that the provider may perform.
  • Assist Physician in the timely management of communications; including written, telephone, email, and voicemail.
  • Facilitate client care assessment by asking client's about previous health data, surgical history, any medical condition and allergies to obtain the client’s medical history.
  • Maintains and submits in a timely manner concise documentation related to client care.
  • Conduct inventory of all medical, office supplies & medications and order any of these supplies that need to be replenished
  • Follows all protocols as required by Health Resources and Services Administration
  • (HRSA), funding sources and additional spa protocols.
  • Assists Physician with daily administrative duties related to client care meets and communicates effectively with all staff, clients and vendors
  • All other duties as assigned by manager

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • High school diploma or equivalent
  • Prior health/spa experienced required. Thorough knowledge of spa operations, including treatments, products, and industry trends.
  • At least 3 years customer service experience
  • 2-3 years progressive experience medical assistant or similar work environment
  • Excellent written and verbal communication skills; and high standards in ethics, service, and image
  • Strong organizational and multitasking abilities
  • Highly motivated to learn & train on procedures and services offered at the spa to educate & explain proper set-up to perform or assist when needed. Attend conferences & trainings to better understand the business and learn new procedures
  • Ability to work independently and manage multiple projects and deadlines
  • Able to to work collaboratively with health professionals in a busy and complex environment using tact, diplomacy, and discipline
  • Strong social media management, computer aptitude, which includes expertise in database software; Internet software; Electronic Health Records, Spreadsheet software and Word Processing software
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Ability to lead by example and to represent the spa professionally in the community
  • Ability to network & form professional relationships with client/consumer population members and establish professional relationships with corporations, academic institutions, faith communities, and service organizations
  • Maintains wellness spa policies and procedures
  • Strong organizational, problem-solving, and analytical skills
  • Ability to manage priorities and workflow
  • Ability to exercise sound judgement & timely decisions
