Job Title: Personal/Executive Assistant
Location - Covington, KY
Shift - 1st Shift
Pay - $75,000 to $80,000
Job Overview:
LHH is seeking a highly organized, efficient, and proactive individual to serve as a Personal/Executive Assistant for our client. This role requires impeccable communication skills, exceptional time management abilities, and a keen attention to detail. The successful candidate will provide comprehensive support to the executive team, ensuring smooth operations and enabling them to focus on strategic tasks. Responsibilities:
Calendar Management: Coordinate and manage executives' calendars, including scheduling meetings, appointments, and travel arrangements. Anticipate conflicts and proactively resolve scheduling issues.
Communication: Serve as the primary point of contact between executives and internal/external stakeholders. Manage emails, phone calls, and correspondence with professionalism and promptness. Filter and prioritize messages as necessary.
Travel Arrangements: Arrange complex travel itineraries, including flights, accommodations, transportation, and visas. Ensure travel plans align with executives' preferences and business requirements.
Meeting Support: Prepare meeting agendas, documents, and presentations. Attend meetings, take minutes, and distribute follow-up actions as needed. Coordinate logistics for on-site and virtual meetings.
Information Management: Organize and maintain digital and physical files, ensuring easy access to important documents and information. Handle confidential information with discretion and integrity.
Task Coordination: Manage and prioritize executives' tasks and to-do lists. Follow up on outstanding action items and deadlines to ensure timely completion.
Office Management: Oversee office operations and administrative tasks, including ordering supplies, coordinating maintenance services, and managing vendor relationships.
Project Support: Assist with special projects, research tasks, and ad-hoc assignments as requested by executives. Provide comprehensive support to help execute projects efficiently.
Relationship Building: Cultivate positive relationships with internal team members, external partners, clients, and stakeholders. Represent executives professionally and uphold the company's reputation.
Qualifications:
Bachelor's degree preferred, or equivalent work experience.
Proven experience as a Personal Assistant, Executive Assistant, or similar role.
Exceptional organizational and time management skills.
Strong written and verbal communication abilities.
Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
Discretion and confidentiality in handling sensitive information.
Ability to multitask and prioritize tasks effectively.
Adaptability and willingness to take on new challenges.
Professionalism and a proactive attitude.
Previous experience in a fast-paced corporate environment is a plus.
