Role Overview

The Benefits Specialist is an integral role in the effective management of the company’s benefit programs. This role is responsible for administering a company’s employee benefit program including health, dental, vision and retirement plans. This role ensures a seamless experience for employees while addressing their benefit inquiries. With a strong attention to detail and a commitment to customer service, the Benefits Specialist collaborates across all employee levels, contributing to the overall success of the firm.

Reporting to the Total Rewards and HR Operations Director, this role requires creative and strategic thinking to enhance the company benefit program ensuring retention of employees and market competitiveness in support of the firm’s growth.

Responsibilities

  • Administers domestic employee benefits programs, including medical, dental, life, disability, vision, retirement plans, flexible spending accounts, health savings accounts, workers, and COBRA.
  • Maintains and recommends improvements to processes, procedures, and documentation to ensure efficiency and effectiveness of benefits program administration.
  • Review of plan documents and materials to ensure appropriate provisions and coverage.
  • Coordination and execution of annual plan renewals and enrollments, including the modification of benefit materials, scheduling of enrollment meetings, the transmission of enrollment data to vendors, and resolution of post enrollment issues.
  • Administers all leaves of absences and coordinates associated short- and long-term disability claims or ADA claims.
  • Performs routine benefit audits.
  • Coordinates and supports benefit enrollment process for new hires and current employee benefit qualifying life events.
  • Responds to employee benefit questions in a timely manner.
  • Review, validate and approve tasks in Paylocity, to process benefit elections according to plan requirements to ensure a smooth and positive experience to employees.
  • Process and reconciles benefits invoices or funding requests for payment, including the resolution of discrepancies with vendors.
  • Coordinates Wellness communication and other program activities.
  • Resolves associated eligibility issues identified in weekly exceptions vendor reporting and validates vendor inquiries regarding interface information provided on weekly benefit interfaces.
  • Maintains appropriate materials and timely updates on the People Operations website.
  • Prepare employee communication as needed to include new hire orientation and open enrollment sessions.
  • Prepares routine and ad-hoc reporting as requested by management.
  • Maintains awareness of federal, state, and local benefit laws and regulations to ensure compliance, including, but not limited. to, HIPAA, COBRA, ADA, FMLA, ERISA, and Section 125 provisions.
  • Participates on committees and special projects and seeks additional responsibilities.
  • Performs other duties as needed.
  • Exemplifies customer service orientation and effective verbal and written communication skills.

Qualifications

Minimum Qualifications

  • Bachelor’s degree in human resources or related field
  • 5 years of Benefits administration experience preferred.
  • Benefits Administration system(s) experience preferred.
