Job Summary and Qualifications

POSITION SUMMARY:

The Purging File clerk is responsible for the pulling of records according to assignment, cataloging and boxing of the records, making arrangements for the boxes to be delivered to Records Storage or to the facilities for microfilming.

ESSENTIAL FUNCTIONS:

• Verifying assignments based on information given for the pulls.
• Pulling by year, section, facility, and/or visits.
• Proper documentation and cataloging into the system-to be stored under Mat Man and information given to the HIM Supervisor upon completion daily.
• Boxing of records by terminal digit to include an inventory sheet of the contents.
• Completing of Inventory form for site and Records Storage
• Proper identification of contents to be identified based on Record Retention Schedule. Boxes must be labeled and a sticker must be place on the box and form 24 prior to pick up. Originals sent to Supervisor-Records Storage, 1set of copies to be kept within the dept at the originating facility, each box should have a copy of the corresponding form left inside as well as the inventory sheet of the contents.
• Arrangements to be made for pick up/delivery in coordination with Records Storage.
• Daily Statistics and support to be given to supervisor.
• Assisting with special projects and tasks as assigned by immediate supervisor in a timely manner.
• General housekeeping and cleanliness of the work area.
• Perform other duties as assigned.

EDUCATION REQUIRED AND/OR PREFERRED:

• High School Education preferred.

LICENSURE/CERTIFICATION:

N/A

EXPERIENCE REQUIRED OR PREFERRED:

• Knowledge of terminal digit and some experience filing in a medical environment is a plus.

SKILLS, KNOWLEDGE, AND ABILITIES:

• Able to work accurately and at an efficient pace to meet the desired work requirements on a daily basis.
• Some experience using computers for tracking inventory of records and keying ability to enter the data needed for records tracking.
• Some experience with terminal digit and/or medical records.
