Overview

We are seeking an enthusiastic, creative, and self-starting individual to join our Aging and Adult Services (AAS) Division as an Administrative Coordinator!

As part of Human Services, the Aging and Adult Services Division advocates, plans, coordinates and delivers services for older adults and adults living with disabilities (as well as their caregivers) so they may experience their highest quality of life characterized by empowerment, dignity, health and independence.

Responsibilities

Specifically, this position:

  • Performs a wide variety of communications when information is factual in nature or involves matters of established policies, procedures, or standard practices; prepares original correspondence in response to customer and agency inquiries.
  • Establishes and maintains office management systems, processes, forms, and standard operating procedures; monitors and evaluates administrative support processes and policies to ensure conformance with department policies and expectations.
  • Provides Aging & Disability Resource staff support including scheduling meetings, preparing mass mailings, monthly reporting, data entry, and communications.
  • Works closely with other internal work groups to adhere to State and Federal reporting guidelines, system tracking
  • Provides Advisory Council support including meeting scheduling, preparing minutes, meeting room set-up, and other duties as assigned.
  • Performs confidential and high-level administrative work on behalf of the Division Manager and Division leadership; acts as assistant for Division Manager handling phone calls and inquiries directly, resolving customer complaints, and directing inquiries to other resources.
  • Composes and researches original correspondence regarding policy and procedural questions, department position, difficult customer or citizen complaints, and other similar issues on behalf of department management.
  • Administers confidential personnel processes and related files; prepares and monitors personnel action forms.
  • Prepares and distributes meeting agendas and related materials; takes meeting minutes.

We are looking for a candidate that will:

  • Be organized and proactive.
  • Have experience working in a fast paced work environment.
  • Be proficient with comprehensive computer skills (presentations, databases, spreadsheets), and have the ability to learn complex computer applications.
  • Be able to support staff/council members in numerous ways including scheduling meetings, ordering/purchasing supplies, meeting set-up and other various duties.
  • Have the ability to organize and prioritize daily tasks.
  • Read and comprehend rules, contract requirements and reporting.
  • Take initiative and be a great teammate.

Qualifications

All candidates will be screened for the following required minimum qualifications. Any candidate who does not meet all of the qualifications listed as required will be eliminated from the process.

  • Five (5) years of experience in a directly related field or in the performance of similar duties and responsibilities required.

Supplemental Information

The typical schedule will be Monday through Friday from 8am to 5pm. This is a hybrid position and will require at least one day/week in the office. You will be required to have adequate internet access and space for remote work. Larimer County provides an annual remote work stipend to assist with equipment and office supply needs for remote workspaces.

In office work will be located at one of the following three locations: 1501 Blue Spruce Drive, Fort Collins, CO 2555 Midpoint Drive, Fort Collins, CO 200 Peridot Avenue, Loveland, CO.

All staff working in the Options for Long Term Care Unit, Adult Protection Unit, or Office on Aging will be required to submit information for a Colorado Adult Protective Services data system check (c.r.s. 26-3-1-111).

An offer of employment is contingent upon the successful completion of required pre-employment testing. Depending on the position, these checks may include, but are not limited to; reference checks, motor vehicle reports, employment verification, education verification, fingerprinting, criminal history information, physical, and a drug screening. As marijuana is an illegal substance under federal law, testing positive for marijuana (medical or otherwise) or any other substance for which the county tests, will result in the contingent offer of employment being revoked. Successful completion of the drug screen is defined as obtaining a negative result.
