Catering Sales Manager

SUMMARY/OBJECTIVE: The Catering Sales Manager will be responsible for solution-based sales efforts, with a strong focus on weddings, and corporate and social catered events, while providing exceptional customer service through relationship development and strategic account development, with an understanding of hotel operations. To be successful in this role, you must possess a genuine interest in taking care of the customer and their guests, in addition to being adaptable, detail-oriented, and a team player with some flexibility in schedule due to the nature of the events business.

THE DUTIES OF A CATERING SALES MANAGER INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING:

  • Develop new and existing accounts to achieve budgeted sales revenue and profitability, Prospect, research, and solicit new accounts.
  • Contribute to the growth of the department with a specialization in corporate and social events.
  • Develop and manage the growth of Catering Sales with a specialization in social, corporate, and business groups.
  • Prepare correspondence to customers, internal booking reports, and file maintenance.
  • Maintain “top of mind” awareness with key account contacts, sales calls, networking, entertainment, etc.
  • Meet monthly booking goals, as indicated by the Annual Business Plan and Budget
  • Communicate all account information to the appropriate departments via hotel database/systems.
  • Provide exceptional customer service through relationship development, strategizing account development and creating quarterly plans that fully exhibit commitment and creativity to exceed customer expectations.
  • Maintain a working knowledge and awareness of the competition in current and changing conditions.
  • Responsible for maintaining the integrity of Sales records and reports including the sales database, Account files and Sales Forecast.
  • Actively participate in Revenue Strategy/Forecast meetings with the Revenue Manager and other members of the leadership team.
  • Promote the Hotel through regular industry involvement and exposure at local and/or national events.
  • Maintain positive employee relations in a supportive, team-oriented environment.
  • Work with the Marketing team for sales initiatives on different mediums like the internet, print and electronic media.
  • Coordinate menu arrangements for conference, social, wedding, and corporate clients that maximize the revenue potential for the hotel, while serving the needs of the client this may include coordinate menus, room set-ups, audio-visual needs, parking, and other essential activities related to producing a successful event.
  • Support revenue growth potential by assessing/monitoring room rental fees, electrical charges, telephone charges, box delivery/storage fees, service fees and other revenue-generating factors in accordance with the sales contract and regarding hotel policies.
  • Coordinate pre-planning meetings or a pre-conference meeting for the operational departments and prepare an accurate Conference Profile that details a particular conference.
  • Provide a comprehensive Post Conference Report on all conferences and review all client invoices prior to mailing to ensure accuracy and accurate assessment of all services and goods rendered by the hotel.
  • Communicate event details to operating departments and customers in a timely and thorough manner following established procedures.
  • Meet and exceed quarterly booking goals to achieve budgeted sales revenue and profitability.
  • Maintain accurate sales records, database, reports, and forecast.
  • Prospect, research and solicit new accounts and nurture existing accounts.
  • Prepare correspondence to customers, internal booking reports and file maintenance.
  • Conduct site inspections, lead client visits, actively entertain, and interact with customers.
  • Provide exceptional customer service; show commitment and creativity to exceed expectations.
  • Participate in strategy/forecast meetings, team brainstorming sessions, staff meetings.
  • Participate and present at trade shows, sales calls, and networking events.
  • Communicate all account/event information to appropriate departments.
  • Maintain positive internal relations in a supportive, team-oriented environment.
  • Support the development, training, and mentoring of associates.
  • Coordinate menu tastings with customers adhering to established procedures.
  • Effectively utilize existing hotel software systems to manage time, event details, and for communication.
  • Develop a positive working relationship with existing customers for repeat business.
  • Work consistently with the catering department on the operation and execution of events.
  • Respond to customer inquiries in an accurate and timely manner.
  • Prepare a comprehensive catering order form according to the client’s requirements and interests.
  • Coordinate and manage catering operations to assure quality services.
  • Review and finalize sales contracts, catering event orders and pricing agreements with clients.
  • Promote the Hotel through regular industry involvement and exposure at local and/or national events.
  • Ensure that the team follows the company's procedures and policies.
  • Actively support the development, training, and mentoring of associates and accept such responsibilities as assigned by the Director of Sales & Marketing or General Manager.

SKILLS/QUALIFICATIONS:

  • 3 years of Catering Sales experience required.
  • Hotel experience required.
  • Opera/Oracle Cloud/ Triple seat or relative software system experience required.
  • Event management software (used for BEOs, diagrams, etc.) experience required.
  • Schedule flexibility required.
  • Excellent verbal and written communication and Computer efficiency: knowledge of Microsoft Word and Excel preferred.
  • Must be able to coach, counsel, and develop employees. Must be able to motivate and lead by example, believe in a strong team culture, and set the scene for high performance.
  • Extensive knowledge of food and beverage etiquette, guest relations, and service standards.
  • Ability to wear multiple hats, you may have to take on responsibilities outside of this job description at times (as we all do!)

PHYSICAL REQUIREMENTS:

  • Able to stand, walk, and sit up to 8 hours in a single day.
  • Able to lift up to 40 lbs.
  • Occasionally required to sit, climb or balance; stoop, kneel, crouch, or crawl; talk or hear, taste, smell.

EXPECTED HOURS OF WORK:

  • Will be required to work various shifts as project and property needs dictate, including nights, weekends, and holidays.

The Base salary of this position is $70,000 with commission potential of up to $18,000 annually.
