Position Overview
Onsite Community Specialist should have advanced interpersonal skills that allow team member to provide exceptional customer service experience to clients. Handle a high volume of client inquiries through both phone and email communication. Maintain multiple client relationships simultaneously. Exemplary follow-through and time management are crucial for success.
Responsibilities
  • Complete regular compliance inspections
    • Respond to general info/inquiry calls/emails about violation notices with proper documentation according to procedures set forth and bring to manager’s attention any questions or unresolved inquiries.
    • Generate and process Hearing Notices for all non-responding owners according to procedures set forth upon Manager’s request.
    • Generate and process Adjudicatory Panel Decision Notifications for all owners when applicable
  • Process Architectural modification forms through completion
    • Generate and process Board/Committee Decision Notifications according to procedures set forth
    • Update ARC Request info after property inspections
    • Document ongoing communications activity concerning ARC requests according to procedures set forth
  • Assist community managers with administrative support tasks
  • Assist with maintenance of community website
  • Respond to elevated homeowner inquiries
  • Assist with completing community action items
  • Facilitate the sharing of community information to CSM team
  • Attend board meetings & annual meetings as needed.
  • Assist clients with questions regarding account balances, governing document compliance, work order requests and miscellaneous community information.
  • Engage with and provide high quality customer service to homeowners in person, via email, and over the phone.
  • Maintain superior customer service levels according to company standards
  • Effectively handle inbound customer service calls
  • Apply critical thinking and problem-solving skills to customer concerns
  • Identify and resolve a wide variety of customer service issues related to property management
  • Perform other duties as it relates to client services process and procedure
