The Executive Assistant serves as the confidential Assistant to the President & CEO. Being proactive and resourceful, the responsibilities include, but are not limited to screening calls, making travel and meeting arrangements, managing calendars, office management, and coordinating executive and board-level meetings, presentations, and reports. The role is high visibility and has heavy interaction with the senior leadership team and the Board of Directors. This role requires candidates who are energetic, positive and highly organized with strong task management and communication skills. The position is office-based in Toledo, Ohio.

Primary Responsibilities
  • Efficiently manage the Executive’s calendar including coordinating meeting schedules, conference calls, and prioritizing business appointments. Includes having knowledge of Executive’s activities and advising appropriate parties using discretion relating to sensitive, confidential, or personal information.
  • Performs a wide variety of assignments which are confidential in nature and may require research to complete; operates personal computer to compose, edit, revise, and print letters, tables, reports, spreadsheets, labels, and other materials.
  • Plans, coordinates, and ensures the schedules are followed and respected
  • Reconcile monthly corporate credit card charges and prepare expense reports.
  • Exceptional training and advancement opportunities within and beyond current role
  • Draft, prepare, distribute, and follow up on the Executive’s correspondence as needed.
  • Assist in preparing executive and board-level presentations and other meeting materials.
  • Organize and maintain electronic and paper filing systems.
  • Lead office management responsibilities in collaboration with other executives and team members.
  • Arrange for conference calls and/or TEAMS video conferences for management and others.
  • Develop agendas and coordinate meetings from beginning to end (attendees, travel arrangements, agendas, conference room, catering, etc.).
  • Prepare and disseminate information between Executive and Management staff.
  • Follow up on projects to ensure they are completed in accordance with directions and instructions.
  • Organize, replenish, and maintain office and shipping supplies.
Qualifications
  • 5 years of executive-level administrative support or relevant experience.
  • Proficient in MS Office Suite
  • Excellent verbal and written communication skills.
  • Strong skills to prioritize and achieve results in a fast-paced, dynamic environment.
  • Ability to manage confidential and time-sensitive information using the highest degree of discretion and integrity.
  • Organize, replenish, and maintain office and shipping supplies.
  • Ability to maintain professional composure and poise in high-pressure situations.
  • Demonstrate excellent people skills with the ability to work at all levels of the organization.
  • High School diploma or equivalent required, associates or bachelor’s degree preferred
