Purpose

Provide general accounting functions to process accounts payable, prepare weekly bank deposits, process semi-monthly payroll, and maintain general accounting records. Provide support to the Accounting Team as needed.


Principal Duties & Responsibilities

Duties and responsibilities may include, but are not limited to the following:

  • Process accounts payable on a weekly basis including invoices for general business expenses and employee reimbursements.
  • Review account coding for all invoices and reimbursements submitted for processing.
  • Prepare weekly bank deposits.
  • Manage corporate credit cards including distributing monthly cardholder statement information and processing payments.
  • Manage corporate mileage reimbursement mobile app account, coordinate set up/approvals and submissions of monthly reimbursement reports.
  • Ensure accurate and timely processing of semi-monthly payroll for employees which includes coordinating with HR staff to process payroll changes, working with payroll vendor to resolve issues as needed, oversee the coordination, delivery and mailing of live paychecks/pay stubs to staff, and manage final payroll report documentation.
  • Perform monthly reconciliation of voluntary benefits to GL and follow up on any discrepancies.
  • Prepare journal entries for semi-monthly payroll, deductions, and benefits.
  • Prepare monthly PTO balance reports.
  • Completes and maintains up-to-date vendor Master files and assists with period record review and updates as needed.
  • Manage petty cash fund.
  • Assist with answering routine staff and vendor inquiries concerning reimbursements and invoices.
  • Assists with preparation of materials for audits.
  • File, maintain, and create accounting records.
  • Process all accounting department incoming and outgoing mail.
  • Provide project assistance and other duties as assigned.

Required Education & Experience

  • AA degree or experience equivalent to appropriate 2-year college program in accounting or related discipline.
  • Proficiency in Office Suite (Word, Excel, etc.).
  • Experience using accounting software (Microsoft Dynamics GP preferred).
  • Experience using payroll software (Paycom preferred).
  • Experience in non-profit organizations preferred.
  • Experience working with diverse populations preferred.
  • A fundamental understanding of current issues and challenges facing individuals from under-served communities including sensitivity to racial equity/diversity.


Minimum Prerequisites

  • Understanding of Generally Accepted Accounting Principles (GAAP).
  • Exceptional time management and organizational skills; ability to maintain detailed records.
  • Excellent verbal and written communication skills.
  • Ability to work effectively under tight time constraints.
  • Be able to list 40 pounds.
  • Receipt of satisfactory DSHS background check and FBI fingerprint background check results.
  • Completion of satisfactory reference checks.
  • Completion of a tuberculosis test.
  • Proof of COVID-19 and MMR vaccinations*
  • Maintaining valid unexpired driver's license and driver's insurance.
  • Access to reliable transportation.
  • Maintaining valid unexpired certifications and licensing if applicable to your role (i.e., CPR & First Aid, medical license)
  • Acknowledgement and signature of the Confidentiality Agreement and Mandatory Reporting Agreement.
  • Acknowledgement and signature agreeing to abide by the terms and policies in the employee handbook.
  • Strictly maintain confidentiality of all client information.
