General Nature of Work

Thepurpose of this classification is to develop, implement and coordinate specialevents for the Parks and Recreation Department.

JOBRESPONSIBILITIES

The following duties are normal for this position. The missionof specific statements of the duties does not exclude them from theclassification if the work is similar, related, or a logical assignment forthis classification. Other duties may be required and assigned.

  • Develops, coordinates,and implements special events for the City; creates and develops theme, designand layout of events; schedules events; establishes, updates and maintainstimelines for events; secures event site; layout space; designs event flow, crowdlayout and control, etc.; creates program budgets for review; maintains,manages and oversees approved budgets.
  • Coordinates pre eventactivities; prepares and distributes documentation to departmental staff.;provides event information for publication; coordinates third party servicecontraction including preparing Requests for Proposal and Requests for Bid,negotiating contracts, etc.; attends meetings to ensure job responsibilitiesfor event requirements are delegated; gathers and purchase supplies and prizes;obtains appropriate licenses and permits; ensures site appropriateness andreadiness including safety, electrical, maintenance, rash, insect control, etc.
  • Coordinates eventactivities; monitors event activities to ensure safety and smooth operation ofevent staff and facilities; monitors facility and restrooms during functions;troubleshoots questions and problems during event; makes recommendations for resolutions;responds to emergencies, accidents and injuries during events; completes anddistributes related documentation.
  • Coordinates post-eventactivities; monitors tear down and clean up after events; conducts assessmentand evaluation of events; prepare report of assessment to summarize outcome ofevents; develops recommendations for improvements and modifications.
  • Ensures adherence toestablished safety procedures; monitors work environment and use of safetyequipment to ensure safety of employees and other individuals.
  • Performs general customerservice and administrative duties; greets and assists customers; receives andresponds to inquiries, concerns and complaints of citizens regarding specialevents; attends meetings; answers the telephone; prepares reports and correspondence;copies and files documents; enters computer data, etc.
  • Communicates withsupervisor, City employees, law enforcement, vendors, entertainers, the public,outside agencies, and other individuals as needed to coordinate workactivities, review status of work, exchange information, resolve problems, orgive/receive advice/direction.
  • Prepares, types,proofreads, and/or completes various forms, reports, RFPs, RFBs, contracts,purchase orders, correspondence, budget documents, after action reports,charts, graphs, spreadsheets, or other documents.
  • Receives various forms,reports, correspondence, logs, invoices, contracts, insurance forms, estimates,drawings, maps, meeting minutes and agenda, policies, procedures, manuals,handbooks, directories, reference materials, or other documentation; reviews,completes, proofreads, processes, forwards or retains as appropriate.
  • Operates a personalcomputer, general office equipment, or other equipment as necessary to completeessential functions, to include the use of word processing, spreadsheet,database, or other system software.

Data Utilization:Requires the ability to evaluate, audit,deduce, and/or assess data using established criteria. Includes exercisingdiscretion in determining actual or probable consequences and in referencingsuch evaluation to identify and select alternatives.

Human Interaction:Requiresthe ability to work with and apply principles of persuasion and/orinfluence over others to coordinate programs or activities of a project, andresolve typical problems associated with the responsibilities of the job.

Equipment, Machinery, Tools, and MaterialsUtilization:Requires the ability to operate, maneuver and/or control the actions ofequipment, machinery, tools, and/or materials used in performing essentialfunctions.

Verbal Aptitude:Requires the ability to utilize a widevariety of reference, descriptive, and/or advisory data and information.

Mathematical Aptitude:Requires the ability to perform addition,subtraction, multiplication, and division.May include counting, recording of counts, and basic measuring.

Functional Reasoning:Requires the ability to apply principles ofinfluence systems, such as motivation, incentive, and leadership, and toexercise independent judgment to apply facts and principles for developingapproaches and techniques to resolve problems.

Situational Reasoning:Requires the ability to exercise judgment,decisiveness and creativity in situations involving the evaluation ofinformation against sensory, judgmental, or subjective criteria, as opposed tothat which is clearly measurable or verifiable.

MINIMUM QUALIFICATIONS

Bachelor’s degree in Public Relations,Recreation, Event Management, or related field; supplemented by three (3) yearsof progressively responsible experience in public relations, marketing, specialevents coordination or related field; or any equivalent combination ofeducation, training, and experience which provides the requisite knowledge,skills, and abilities for this job. Must possess and maintain a valid Georgiadriver’s license.

Physical Ability:Tasks require the ability to exert lightphysical effort in sedentary to light work, but which may involve some lifting,carrying, pushing and/or pulling of objects and materials of light weight (5-10pounds). Tasks may involve extended periods of time at a keyboard or workstation.

Sensory Requirements:Some tasks require the ability to perceive anddiscriminate colors or shades of colors, sounds, taste, odor, depth, texture,and visual cues or signals.Some tasksrequire the ability to communicate orally.

Environmental Factors:Essential functions are regularly performedwithout exposure to adverse environmental conditions.
