The Mastermind Community Manager is responsible for building trusting relationships with the Top Agent and Team Mastermind Communities, managing our database for the top 20% of our producers, and running point on all mastermind group communication. This position serves as a bridge between the Top Agent and Team Mastermind groups and various KWRI departments, including but not limited to: KWRI executive leadership and the Events and Publishing Teams. This position will also work with our regional and market center leaders to verify production and solve challenges with this communities.

The Mastermind Community Manager partners with the KWRI Events Team to ensure successful communication for Mastermind events, invitations, and RSVPs. This role frequently collaborates with KWRI’s Publishing Team by sourcing candidates from different agent groups for book project interviews. The Mastermind Community Manager is an expert on its group members and frequently suggests candidates with special skills or expertise for Keller Williams events. This role is responsible for managing Mastermind-related social media accounts, nurturing the Mastermind Community database with regular touches, and ensuring new and seasoned Mastermind group members feel welcomed and well-informed.

• Three to five years administrative real estate experience within a Keller Williams top sales team or market center is strongly preferred
• Proficient in using KW Command’s contact database and Smart Plans feature
• Excellent customer service skills
• Excellent communicator with an ability to use data to inform decisions
• A positive attitude that approaches new situations with curiosity and initiative
• Must be able to interact and communicate with individuals at all levels of the organization, as well as key stakeholders at KWRI headquarters and real estate agents in the field with poise, tact, and professionalism
• Proven ability to solve problems independently and resourcefully
• Possess project management or related experience
• Intermediate proficiency with Microsoft Excel and Google Suite (especially Google Sheets)

Command Database

• Manage additions and updates to the contact database for Top Agent and Team communities: personal information, contact information, websites, special notes about individuals and teams, etc.
• Run point on touch campaigns for members, including monthly updates, birthdays, milestones and company anniversaries

Social Media

• Verify and support the entry of newly eligible agents and teams to their respective private Facebook groups
• Maintain frequent communication with Facebook Group Admin(s) to foster group exclusivity (e.g. Welcome new members, celebrate their milestones, exit members who have left KW or fallen below production requirements, etc)
• Manage the social media profiles for applicable company leadership and collaborate with departmental stakeholders when appropriate

Events

• Manage eligibility for the Top Agent and Team mastermind events throughout the year and work closely with KWRI’s Events Team to coordinate invites, RSVPs, and reminders
• Support LABS events
• Be the point of contact for Top Agent and Team Masterminds at Family Reunion, CEO Summit, and MegaCamp. Serve as a concierge for these VIP groups and maintain seamless collaboration and communication with KWRI’s Events team throughout planning and execution, to ensure invitations are sent out accurately and RSVPs are collected in a timely manner
• Be the point of contact for the Pirate Group, a elite production group being formed

Interviews

• Be a hub of information on Top Agents and Top Teams, regularly updating the Mastermind contacts database with information on members’ unique skills, expertise, and backgrounds
• Organize the record keeping of top agent and team production data, skillsets, and expertise, and regularly share this information with KWRI’s Executive Leadership, Publishing, and Keller Williams University teams to help source candidates for book projects, interviews, etc.

Ongoing Scheduled Communication

• Draft and send scheduled communications to Top Agent and Team mastermind groups (after stakeholder approval) to foster a sense of exclusive community and to keep the communities informed of upcoming events, updates, etc.

Welcome

• Regularly pull and consult monthly data reports on agent and team closed volume and GCI to ensure the Mastermind groups are comprised of eligible members
• Send emails and create Facebook posts to welcome new Solo and Team Mastermind Group members to their respective Mastermind communities.
