Keller Postman seeks a Project Assistant to support its practice of representing a broad array of clients as plaintiffs in complex litigation at the trial and appellate levels. The Project Assistant will provide high-quality project support to attorneys and paralegals in a fast-paced and demanding environment. Tasks and projects must be executed with a high level of attention to detail with minimal error.
This is a hybrid position, 2 days WFH/3 days in our Chicago office.
Essential Functions
• Manage internal processes for communication to clients, including drafting, editing, scheduling, and sending regular communications to clients regarding project updates.
• Identify and mitigate process gaps regularly.
• Manage external vendor and partner relationships.
• Manage internal and external reporting obligations during project lifecycle ensuring all systems reflect the most up-to-date information.
• Handle day-to-day project-related activities for active projects, including deadlines and internal team communication on those activities.
• Within the context of the larger project plan, develop a detailed workstream project plan to track progress.
• Responsible for aligning resources, creating project plans, and tracking critical milestones/risks/dependencies.
• Use firm technology tools, including JotForm, Formstack, SalesForce, Filevine, Zapier, and Mailchimp to execute projects.
• Perform various file maintenance tasks for paper and electronic files in compliance with the firm’s policies. This includes creating files and retrieving files when necessary.
• Prepare and process outgoing mail and faxes, arranging for specialized mail or messenger services as required.
• Report and escalate delays, issues, and risks to the project as needed.
• Other duties as assigned.

Education/Experience:
• 1-3 years of related experience is preferred.
• Bachelors degree preferred; at least associates degree required.
