Keller Postman is Hiring a Docket Specialist Near Chicago, IL

Keller Postman LLC is a national law firm that represents a broad array of clients as plaintiffs in complex litigation at the trial and appellate levels. We act for plaintiffs in federal and state court across a variety of claims and practice areas. We take on complicated cases-frequently class and mass actions, arbitrations or matters in multiple jurisdictions-where our legal and strategic counsel can add significant value.
Keller Postman LLC, a complex litigation law firm that represents a multitude of clients in mass tort, personal injury, class action, and public institution lawsuits, is currently seeking a Docket Specialist to support its growing legal practice.
Primary Duties:
  • Support attorneys and paralegals in the tracking of deadlines in various litigation matters.
  • Perform date calculations while applying jurisdictional rules.
  • Maintain calendaring database and update court rule sets.
  • Research and interpret laws and regulations, as well as state and federal court rules, especially in jurisdictions in which we practice.
  • Provide guidance on filing procedures across various courts and agencies.
  • Review finalized court filings for consistency with local, state, and/or federal court rules prior to filing.
  • Prepare and electronically file time-sensitive legal documents with various state and federal trial and appellate courts.
  • Investigate and report on submission procedures for attorney admission appearances.
  • Investigate and report on potential witnesses, such as running skip trace or other public record searches.
  • Obtain attorney Certificates of Good Standing and maintain a calendar of related expiration dates.
  • Organize and maintain attorney admissions and renewals, if necessary. This includes state bar admissions, federal court admissions, and all pro hac vice admissions.
  • Organize and maintain attorney account and login credentials for PACER, CM/ECF, and other electronic filing service providers (e.g., Odyssey).
  • Assist with necessary case docket audits.
  • Interact with docketing software technical support staff, as well as court personnel, to resolve any issues.
  • Provide quality control for all docket entries and oversee the distribution of regular docket and status reports.
  • Travel to local courts to process filings and obtain documents, if necessary.
  • Coordinate messenger services to deliver legal documents and evidence, as necessary.
  • Coordinate with other departments within the firm to develop efficient procedures and communications to streamline processes.
  • Work collaboratively with attorneys and Legal Support team members on miscellaneous projects.
  • Attend case-related and Legal Support department meetings and training seminars.
  • Attention to other ad hoc assignments delegated by the Docketing Supervisor or Legal Support Manager.
Required Knowledge, Skills, and Abilities:
  • Knowledge of state and federal civil procedures and court processes, including but not limited to Illinois, Pennsylvania, Delaware, Texas, Florida, and/or California.
  • Knowledge of the federal courts' PACER and CM/ECF system.
  • Knowledge of assorted state court filing systems (e.g., Odyssey).
  • Excellent organizational skills, with the ability to multi-task and adapt to changes quickly.
  • Excellent verbal, written, and interpersonal communication skills.
  • Excellent time management skills with a proven ability to meet time-sensitive deadlines and adapt to changing priorities.
  • Ability to function well under pressure and in a fast-paced, demanding environment.
  • Ability to maintain confidentiality and exercise discretion and good judgment.
  • Ability to exercise sound independent judgment and proactive problem-solving.
  • Ability to communicate with others effectively, listen closely, and convey points clearly.
  • Ability to work independently or as part of a team.
  • A creative mind with the ability to suggest improvements, and conduct cost-benefit analyses when identifying and solving problems.
Preferred Technical Skills:
  • Proficiency in Microsoft 365 (such as Outlook, Word, PowerPoint, Excel, OneDrive, and SharePoint), with the ability to learn new or updated software.
  • Proficiency in Adobe Acrobat.
  • Proficiency in Court Alert or other docketing and deadline calendaring platforms.
Education/Experience: Bachelor's degree from an accredited college or university and a minimum of 2 years of litigation docketing experience at a law firm
Or, an Associate's degree and a minimum of 5 years of litigation docketing experience in a law firm
