Position Summary

We are looking for an Executive Assistant to support our company’s senior-level managers. This role will coordinate and manage executive calendars, prepare and organize important operational materials and plans, make travel arrangements, handle expense reports, and other duties as needed to serve as a trusted partner to deliver against the priorities of the business. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, business leaders, employees, vendors, and members of the community. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising professionalism and discretion.

Essential Accountabilities

· Interact productively and collaboratively with all levels of the organization; production team members, peers, engineering, quality, sales, administration, and senior leadership

· Understand, display, and champion the CORE Values of JSW Steel USA, “Better Work directly to support the CEO and other senior-level managers in all aspects of their daily work routine.

· Maintain the CEO’s calendar, including scheduling meetings, appointments, and travel.

· Serve as a liaison between the Company and the public. This includes receiving and screening the CEO’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.

· Coordinate work with other JSW staff as needed.

· Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handle matters personally, as appropriate.

· Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.

· Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.

· Sort and triage mail; maintain e-mail and other address directories.

· Compose and prepare letters relating to routine correspondence for the CEO’s signature.

· Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.

· Transcribe source material, prepare documents, reports, tables, and charts; distribute as appropriate.

· Prepare, reconcile, and submit expense reports.

· Maintain paper and electronic filing systems.

· Maintain confidential and sensitive information.

· Detail-oriented, Self-starter, and Exhibits sound judgment with the ability to prioritize and make decisions

· Energetic and eager to tackle new projects and ideas

· Comfortable interacting with high-level executives

· A team player capable of cultivating productive working relationships across the company with a Resourceful, can-do attitude and Thrives in a fast-paced environment

Key Qualifications

· Bachelor’s degree preferred

· 10 years of experience as an administrative assistant, 3-5 years in supporting a senior executive or team.

· Excellent written and verbal communication skills

· Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)

· Exceptional writing, editing, and proofreading skills

· Excellent organization and time-management skills

· Ability to respect, protect, and maintain highly confidential information
