Position Title: Volunteer Coordinator

Organization: Jewish Family Service of San Diego

Department: Immigration Services Division – Migrant Shelter

Position Type: Full-Time (37.5 hours/week), Non-Exempt

Work Setting: Onsite

Schedule: There are two shifts available, which includes the weekends:

1. Tuesday -Thursday, 7:00am-3:30pm and Friday-Saturday, 10am-6:30pm

2. Sunday - Thursday, 11:00am- 7:30pm 

Reports To: Immigration Services Program Manager

Pay Range: $23.18/hour

Volunteer Coordinators have a critical role in coordinating volunteers to shelter operations for asylum seekers who have been released into the United States by the Department of Homeland Security. This role will help you gain experience in respite sheltering, volunteer recruitment, volunteer management, and volunteer retention. You will walk away from each day having invested in the lives of asylum-seekers while learning about border policies and their impact on vulnerable families and individuals from around the world.

Volunteer Coordinators are responsible for recruiting, on-boarding, training, compliance, retaining volunteers and maintaining volunteer relationships. This process includes managing volunteer information with confidentiality, coaching volunteers through difficult interactions or experiences, ensuring volunteers have completed necessary registration steps, and confirm volunteer shifts are filled to support the overall operation.

Responsibilities:

  • Coordinate and participate in recruitment of volunteers to fit these roles using a variety of resources and techniques
  • Assess the need for volunteers through collaboration with shelter leadership
  • Utilize an online volunteer management software platform to confirm volunteer shift registration
  • Email/text/call volunteers to confirm that they are still available for the shift they signed up for
  • Gathers information about each volunteers' skills, availability, and goals; matches volunteers with appropriate opportunities based on this data
  • Develop volunteer schedules to ensure adequate personnel to meet operational needs
  • Provide training for new volunteers and/or new roles, including JFS policies/procedures
  • Ensure volunteers have a thorough understanding of their job descriptions and responsibilities
  • Review and analyze the monthly data reports for volunteers through the volunteer management database
  • Create the shelter segment for the JFS monthly volunteer newsletter to share important updates and statistics with shelter volunteers and stakeholders
  • Welcome volunteers upon arrival & provide them with name tags, tour of the shelter location(s), and connect them with their shift supervisor
  • Conduct LiveScan fingerprint checks for all new volunteers
  • Facilitate communication and volunteer engagement
  • Coordinates volunteer recognition and appreciation events and activities
  • Regularly communicates with volunteers to ensure placement is a good fit for individuals skills and goals
  • Conduct regularly scheduled communication with volunteers to provide direction and guidance
  • Consult with volunteers on a regular basis, address concerns and share ideas
  • Provide timely direction to volunteers through written and verbal feedback
  • Participate in required training
  • Assist volunteers in their tasks assignments as needed
  • Maintains files, records, applications, and other data concerning volunteer program
  • Coordinate and execute various projects with the leadership team
  • Participate in required training
  • Other duties as assigned

Skills/Experience/Abilities That Are a Must-Have:

  • Bilingual in Spanish/English
  • Demonstrated experience supervising, leading, managing volunteers
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Exceptional interpersonal and customer service skills (I.e., in-person, telephone, etc.)
  • Ability to think critically
  • Self-starter who thrives in dynamic and environment
  • Experience with digital volunteer coordination platforms
  • Strong team player
  • Experience with coordinating and providing training opportunities
  • Careful and thorough attitude with a good work ethic
  • Good sense of direction and problem solving 
  • Strong coordination, organization, and management of multiple tasks in a busy work setting
  • Work independently, problem-solve, and effectively resolve concerns
  • Establish and maintain effective working relationships with staff, volunteers, community partners and others connected to the work
  • Identify methods to maximize service effectiveness and efficiency
  • Communicate clearly, both verbally and in writing

  • Commitment to confidentiality of volunteer and guest personal identifying information

  • Commitment to excellence and ability to provide high quality work

Skills/Abilities You Must Have:

  • Associates/Bachelors degree and/or at least 1 year experience in related field
  • CPR/First Aid & AED Certification preferred, but not required
  • Valid CA Driver’s License 
  • Must have reliable transportation to and from work locations

Physical Demands of the Job:

Must be able to

  • Sit for extended periods of time
  • Communicating verbally to groups of volunteers
  • Sit or stand for long periods of time
  • Reaching, bending, stooping
  • Extended work with computer
  • Lift up to 20 pounds
