Administrative Assistant On Construction Jobsite

Under the direct supervision of the On-Site Forman or Project Manager this position provides administrative and secretarial support for on-site management staff. In addition to typing, filing and scheduling, performs duties such as record keeping, scheduling, coordination of meetings, e-mail distribution, obtaining supplies, coordinating, and working on special projects. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.

Essential Functions

1. Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department. Prepares for meetings including ordering lunch and setting up. Manages cleanup of meeting areas.

2. Provides calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgements and recommendations to ensure smooth day-to-day engagements for the Foremen and PM Staff.

3. Establishes, develops, maintains PTO calendar and/or out of office calendar for all departments.

4. Organizes and prioritizes large volumes of information and calls.

5. Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information

6. Manages incoming calls, and prioritizes phone messages and emails. Handles all calls and visitors with sophistication and professionalism.

7. Updates and maintains phone lists for office staff and field foreman.

8. Handles confidential and non-routine information.

9. Works independently and within a team on special nonrecurring and ongoing projects. Coordinates special projects, at the request of the Vice President, Project Manager or HR Manager which may include: planning and coordinating presentations, disseminating information, coordinating mailings, creating handouts.

10. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

Work Environment

This job operates on a construction job site in a jobsite trailer. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. While performing the duties of this job, the employee will work in an office environment but will regularly works on-site at the construction work site where the employee is exposed to moving mechanical parts; high precarious places; fumes or airborne particles; outside weather conditions and risk of electrical shock. The noise in these work environments is usually moderate to very loud. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Performance of the required duties will require physical ability to climb permanent and temporary stairs and negotiate work areas under construction. Performing this job requires use of hands to finger, handle, or feel objects, tools or controls, sit, talk and hear, stand, and bend.

1. High School Diploma or equivalent.

2. 2 years related experience.

3. MS Office Suite Proficiency, with strong typing skills
