Job Title: Executive Administrative Assistant
SummaryBeneSys is seeking a motivated, hardworking, and highly organized professional with prior experience as an Executive Administrative Assistant. This position’s principal responsibility is to support the Chief Executive Officer but will also provide some administrative support to the Human Resources Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to:
Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board, executive and committee meetings and events: order breakfast/lunch/snack as appropriate; schedule meetings; draft agendas; take minutes; develop, compile, and distribute presentation materials.
  • Communicate with the staff on the CEO’s behalf and coordinate high-level meetings both internally and externally.
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with internal and external stakeholders; composing and preparing correspondence; and maintaining contact lists.
  • Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
  • Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
  • Make complex travel arrangements and itineraries; prepare all correspondence related to arrangements; and complete expense reports.
  • Assist with meeting preparation and recording meeting minutes.
  • Plan/organize and implement events such as meetings, business luncheons, or client dinners.
  • Handle confidential information; organize and maintain files.
  • Order business cards, name plates and other office supplies and equipment to support the CEO and Human Resources Department.
  • Prepare information and research for executive needs.
  • May help plan company events, meetings, and employee team building activities or special projects.
  • Interact with trustees, plan professionals, contributing employers and participants.
QualificationsEducation and Experience. Associate degree in business or related field preferred. Has supported C-level executives for at least 5 years. Experience with Taft-Hartley Multi-Employer Benefit Plans a plus.
Computer Skills. Must have prior experience in advanced-level use of Microsoft Teams, Outlook, Excel, Calendar and PowerPoint. Prior experience with Concur a plus.
Language and Communication Skills. Excellent written and verbal communication, including the ability to write clear and concise communications using excellent grammar. High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners.
Mathematical Skills. Able to apply basic concepts of addition, subtraction, multiplication, division, fractions, decimals, and percentages.
Reasoning Ability. Must have solid problem-solving skills with the ability to react with appropriate levels of urgency to situations that require quick response or turnaround. Excellent judgment is essential. Able to maintain a high level of integrity and discretion in handling confidential information.
Organizational Skills. Make appropriate, informed decisions regarding priorities and available time. Exceptional organizational skills and impeccable attention to detail. Ability to complete a high volume of tasks and projects with little or no guidance.
WORK ENVIRONMENTThe position operates in an office setting, using standard office equipment such as: computers, phones, photocopiers, filing cabinets, fax machines, etc.
PHYSICAL DEMANDSThis position involves sustained periods of sitting and keyboarding. Some light lifting may also be required.
WORK SCHEDULEFull-time, in office, Monday – Friday, 8:00am - 5:00pm, with a 1-hour unpaid lunch.

PAYThe salary range for this position is $75,000 - $80,000. Actual salary offered is dependent on education, skills, experience, and other business factors.
