This position is full-time (40 hours per week) and reports to the Director of Development. A successful candidate will be expected to work in our Boulder & Longmont offices each week, and from home.

General Statement of Duties: The Development Associate works closely with Intercambio’s Director of Development (DOD) to oversee all individual contribution income. This position is responsible for maintaining the database, assisting in the coordination and execution of fundraising and community events, and engaging with all Intercambio stakeholders as a fundraising representative, in addition to overseeing multiple donor portfolios, and assisting in the grants process as needed.

RESPONSIBILITIES

Donor Solicitation & Stewardship

  • Primary contact for all first-time donors, and donors who give less than $1,000 annually.
  • Oversees the monthly giving program (AKA the Scholarship Club) including regular communication with participants, annual campaign, renewal requests, and annual receipt mailing.
  • Oversees the alumni giving program for current and previous students in collaboration with Boulder County and CC English programs teams. Includes regular communication with participants, solicitation and marketing of program.
  • Creation and stewardship of moves management portfolios in collaboration with the DOD, including individual portfolio of major donors.
  • Ensure clear strategy and timeline for cultivation, solicitation, and stewardship of donors.
  • Informing Chief Executive Officer CEO/DOD on stewardship, growth strategies, and timeline for outreach regarding existing major donors, including individual portfolio.
  • Work with DOD to create, evaluate, and analyze fundraising efforts and reports.

Development Committee/Board

  • Coordinate Board of Directors & Development Committee 2x/annually to help with donor thank you calls or other needs and ensure all communications get tracked in Salesforce.
  • Collaborate with DOD and Development Committee during strategic fundraising periods
  • May include attending meetings for event planning, appeal/annual report planning, etc.
  • Work with CEO/DOD to communicate and track board pledges and gifts and share relevant information with board and committee members.

Database Management & Donor Acknowledgement

  • Fully manage donor database and reports, including information from Salesforce and all incoming donation sites (e.g. Community Foundation, Fundraise Up, Colorado Gives Foundation, Benevity, etc.)
  • Enter donations upon receipt at Intercambio and ensure the donor receives a receipt and personal thank-you in a timely manner, notifying the Development Lead when the donor in their profile makes a gift.
  • Collect and analyze donation data and reconcile incoming gifts monthly with QuickBooks tracking to ensure all records settle.
  • Includes collection and analysis of annual data at the end of each calendar year and fiscal year to follow up with lapsed donors, outstanding pledges,
  • Updates thank you letters quarterly generated by Salesforce and Fundraise Up.
  • Collaborate with the Assistant Director of Marketing to create and produce content for donor-specific mailings/emails.
  • including digital and print media for annual reports, events, newsletters, postcards, appeals, and social media.
  • The Development Associate collaborates with the Assistant Director of Marketing to identify students and volunteers to feature, outlines content and graphics, drafts communication for review by DOD, and creates mailing reports and lists.

Events

  • Coordination and execution of fundraising and organization-wide events including Cambio, Community Conversations, Behind the Scenes, and Donor Appreciation with DOD.
  • Pre-Event Coordination- responsible for coordinating staff/volunteers/committees/interns; ticket sales; and budget creation/tracking.
  • Oversees: negotiations for space, contracts, and booking of final event space(s); arranging food and beverage; ordering supplies and audiovisual equipment, working with program speakers/entertainers to ensure meaningful event.
  • Strategic timing: Create event calendars, sponsor and vendor contacts, attendee information, seating arrangements, etc. Develop and track timing and benchmarks to ensure events remain on schedule.
  • Donation processes: Secure both monetary and in-kind event sponsors, work with CEO/DOD to secure gift pledges, ensure timely processing of contributions, and maintenance of donor records, including all gift entries, auction donations, auction purchases, and donor acknowledgment.
  • Collaboration across departments to ensure the creation of high-quality marketing materials and a robust marketing strategy unique to each event as well as timely and meaningful content presented at events.

Staff Engagement

  • Assists in hiring and onboarding for Development Team and related hires.
  • This position may oversee interns or contractors based on project load and need.
  • Participates in the Intercambio Strategic Plan development process and Development strategic plan creation and implementation. 
  • Assists in ensuring that organizational and departmental goals and operations align with and support the Strategic Plan and organizational culture of philanthropy.

REQUIRED QUALIFICATIONS

  • At least 3 years of development experience including prospecting, reporting, and cultivating foundation funders.
  • Proficient knowledge of donor cultivation processes including messaging and reporting.
  • Strong work ethic, positive attitude, dependable.
  • Proactive customer service orientation, relationship building skills and flexibility.
  • Ability to work independently and collaboratively in a dynamic, team-oriented environment.
  • Skill at using Office 365 applications (Outlook, Word, Excel, PowerPoint, SharePoint) or similar cloud-based office applications.
  • Experience using a donor database (ideally Salesforce) to track funder communications.

Starting salary range is between $50,000 to $54,000 per year. Intercambio has a formal, market-based compensation structure. Candidates who possess the required qualifications usually start in the middle of the advertised pay range. Intercambio also offers a competitive benefits package for part-time staff that includes life insurance, vacation and sick leave, Simple IRA after 1 year with a company match of 3%, and funds for annual professional development.
